PRINT TRIAL BALANCE 

Use this screen to print a condensed report of all account/organization (or "account/org") balances. You will generally print and review this before closing the accounting period.

Print the Trial Balance after initializing project and non-project beginning balances to determine that the General Ledger is in balance, and that account/org balances were properly initialized. You should also print it as needed for reviewing account/org balances as part of the accounting period close process.

You can apply org security to this function. Use this optional feature to grant or remove rights for individual users to view and/or update specific organizations. In order to do so, you must first set up the necessary org security screens in Costpoint System Administration. You can then activate org security through the use of the Maintain Users and System Settings screens. For more information about org security and how to apply it, see System Administration Special Topic SA - 5, "Organizational Security" and the documentation for the Organizational Security menu in Costpoint System Administration.

Because the General Ledger is printed when the accounting period is closed, the Trial Balance is not considered an essential part of the system audit trail. However, you may want to retain it with your monthly closing reports.

Select Accounts

Range Option

Enter, or use the drop-down box to select, the range of accounts that you want to include on the report. The system-defined options are "All," "One," "Range," "From Beginning," and "To End."

From/To

Enter the starting and/or ending accounts for the range of accounts you want to include on this report. You can also use Lookup to select the accounts for these fields. One or both of these fields may be disabled, depending on your Range Option selection.

Level

Include Level __ and Below

Identify the highest account level you want printed on this report, based on the levels established in the G/L Settings screen. Accounts below the specified level will be summed and shown as a summary total.

Page Break

Select this checkbox to include a page break after each account, or leave this checkbox unchecked to print more than one account per page.

Select Grouping

Select By

From the drop-down box, select the appropriate option for the grouping of your report. The system-defined options are "Organization," "Ref 1," "Ref 2," "Alternate Reporting," or "Reorganization."

Range Option

Enter, or use the drop-down box to select, the range of Organizations, Ref 1s, Ref 2s, or Alternate Reporting structures to be included on the Trial Balance. The system-defined options are: "All," "One," "Range," "From Beginning," and "To End." 

From/To

Enter the starting and/or ending Organization, Ref 1, Ref 2, or Alternate Reporting structure ID for the Organization(s), etc., you want to include on the report. You can also use Lookup to select the values for these fields. One or both of these fields may be disabled, depending on your Range Option selection.

Level

Include Level __ and Below

Identify the highest Organization (or Ref 1, Ref 2, or Alternate Reporting structure) level you want printed on this report. Balances on the report will be rolled up to the specified level.

Page Break

Select this checkbox to include a page break after each group specified in the Select By field. Leave this checkbox unchecked if you do not require page breaks after each Organization, Ref 1, Ref 2, or Alternate Reporting structure.

Sort

Select the appropriate radio button to sort the report either by Account or by the selected alternate reporting option (Organization, Ref 1, Ref 2, or Alternate Reporting structure). The alternate reporting option shown depends on your selection in the Select Grouping group box.

Select Ending Period

Fiscal Year

Enter, or select from the drop-down box, the fiscal year for which you want to print the Trial Balance.

Period

Enter or select the accounting period for which you want to print this report. The period ending date of the selected period is shown in the non-editable field to the right.

Show

Accounts with No Activity

Select this checkbox to print accounts with no activity on the Trial Balance report.

This checkbox is selected by default.

Amounts in Thousands

Select this checkbox to print amounts in thousands. If you leave this checkbox unchecked, amounts reported will be shown in single units, instead of in thousands.

All Detail

Select this checkbox to print all detail at the Account/Org level on the Trial Balance. (The detail will instead display at the Account/Ref 1, Account/Ref 2, or Account/Alternate Reporting level, depending on your choice in the Select By field.)

Hint: You can save the specified report parameters for future use. To save the selected report parameters, select the Save button on the toolbar after you have entered your report selections. Enter an appropriate ID and description for the report, and select the OK button to save. Stored report parameters are especially useful if reports are to be run through Process Manager.
