PURGE INTERCOMPANY RECEIVABLES 

Use this screen to delete posted intercompany transactions from the General Ledger.

When you perform the Purge Intercompany Receivables process, the system deletes original data from the Intercompany Transaction History table.

To prevent the accidental deletion of data, we recommend that you restrict user access to this screen. Should an error (system, hardware, electrical) occur during this purge, the same user must restart the purge after the crash.

Normally you will run this process to clear out unneeded history and free up database space. We suggest that you purge transactions only for closed accounting periods.

Following your company procedures, you should first identify which fiscal year and periods should be included. You should verify that this data does not need to be retained in the system for future audits. We strongly urge you to archive this data before purging.

We suggest that all users exit the Post Intercompany Receivables screen before you purge intercompany receivables.

Select Time Periods

In this group box, you can select the time periods for which you want to purge intercompany receivables.

Range Option

Use this drop-down box to select the range of the intercompany receivables you want to purge. Options are "All," "One," "Range," "From Beginning," and "To End." The default for this field is "One."

From Fiscal Year

Enter, or use the drop-down box to select, the fiscal year of the intercompany receivables you want to purge.

From Period

Enter, or use the drop-down box to select, the starting period of the intercompany receivables you want to purge. If you select "All" or "From Beginning" in the Range Option field, this field will be inactive.

To Period

Enter, or use the drop-down box to select, the ending period of the intercompany receivables you want to purge. If you select "All," "One," or "To End" in the Range Option field, this field will be inactive.

Select Journal Entries

In this group box you will select one or more journal entry identification numbers to be deleted.

Range Option

Use this drop-down box to select the range of the journal entries you want to purge. Options are "All," "One," "Range," "From Beginning," and "To End." The default for this field is "One."

From

Enter, or use Lookup to select, the starting journal entry number of the range of journal entry numbers you want included in the purge. If you select "All" or "From Beginning" in the Range Option field, this field will be inactive.

To

Enter, or use Lookup to select, the ending journal entry number of the range of journal entry numbers you want included in the purge. If you select "All," "One," or "To End" in the Range Option field, this field will be inactive.

Print Option

Print List of ICR transactions to be purged

Select this checkbox to print a list of all intercompany receivables selected for deletion. Although you can execute this purge without first printing the list, we suggest that you print the list to review the selected transactions before you begin the deletion process.

You should retain the Purge Intercompany Receivables List after the purge is completed, since it is the only audit trail available.

Print/Purge Intercompany Receivables

Select this option in the Process menu to print the Purge Intercompany Receivables list and then immediately begin the purge process. This option does not give you the opportunity to review the data to be deleted before the purge process is executed, but it will ensure that a report is printed for audit trail purposes. This pushbutton is available only if you have selected the Print List of ICR transactions to be purged checkbox.

Purge Intercompany Receivables

This button on the toolbar is active when the Print List of ICR transactions to be purged checkbox is left blank. No record of purged transactions will print when this button is selected.
