MASS LINK REF/ACCOUNT/ORGS

Use this screen to set up a relationship between a reference number hierarchy and the account/ organizations that make it up. This can be used for alternate reporting structures.

If your company has more than 1,000 reference numbers or more than 1,000 account/ organizations that are linked, you will not be able to use this screen, because there is a limit of 1,000 rows for any table window. If this is the case, use one of the screens listed above instead.

You must link Reference Numbers with account/organizations before you can use them in alternate reporting structure reports. Reference numbers must already be set up, and accounts and organizations must already be set up and linked together, before they are available for linking in this screen.

Note: Org security can be applied to this function. Use this optional feature to grant or remove rights for individual users to view and/or update specific organizations. In order to do so, you must first set up the necessary org security screens in Costpoint System Administration. You can then activate org security through the use of the Maintain Users and System Settings screens. Reference Numbers

When the screen is initialized, all existing reference numbers and their names are loaded into the table window in this group box. You can move up and down in this table window in several ways:  slider, search, up and down arrows, or page up and down.

As you enter characters into the Search field, the contents of the table window scroll to the matching position in the table.

Select the reference numbers you want to link with account/organizations. You can select one at a time by clicking on the row. To select more than one, click the mouse and drag it down. To select multiple rows that are not consecutive, press shift while clicking on the additional rows.

If you have more than 1,000 available reference numbers, use Subquery to select a subset of the available reference numbers to populate this table window.

Account/Orgs

When the screen is initialized, all account/organizations are loaded into this group box. You can move up and down in this table window in several ways:  slider, search, up and down arrows, or page up and down.

Select the account/organizations you want to link with reference numbers. You can select one at a time by clicking on the row. To select more than one, click the mouse and drag it down. To select multiple rows that are not consecutive, press shift while clicking on the additional rows.

If you have more than 1,000 available account/org combinations, use Subquery to select a subset of the available account/orgs to populate this table window.

Note: This process can be time-consuming, especially if you have selected a number of reference numbers or a number of account/organizations, so do not be surprised if it takes a while to complete the linking process. Also, the Selected Ref/Account/Orgs table window can hold only 1,000 rows. If the number of ref/account/orgs created exceeds this number, ref/account/org links from that point will not be created.

Select

Use this pushbutton to link reference numbers with account/organizations. Once you begin this process, your computer will be unavailable to you for other tasks. Note that this process can take some time to complete.

Deselect

Select this pushbutton to remove any highlighted rows from the Selected Ref/Account/Orgs table window.

Hint:  You can perform a Subquery on either the Reference Numbers or Account/Orgs table by selecting the Subquery pushbutton after you have highlighted a row in the table. For example, if you have just performed a Subquery on the Reference Numbers table, you must first highlight a row in the Account/Orgs table before performing the Subquery function for Account/Orgs. Once you have performed Subquery on a table, the new, more focused table will be the basis for further Subqueries.

Selected Ref/Accounts/Orgs

This table window represents the linkages created when you use the Select pushbutton as described above. To deselect ref/account/org combinations, highlight the row(s) you want to remove, then use the Deselect button.
