PRINT ASSET TEMPLATE DETAIL REPORT

You can use the Print Asset Template Detail report to view and print data from the Asset Template record(s).

You can print two separate pages per record. Data displays on each page as follows:

Each report page listed above can be printed individually, or you can select the All Info radio button to print both detail pages at one time.

You can select to print Depreciable and/or Non-Depreciable template records.

You can sort by template/revision number or by record-added date. Regardless of the sort sequence, all selected pages for a single record print before the pages for the next record print. All pages print in the same format with the template number, revision number, and short description displayed on each report page.

Because the Asset Template Detail Report provides a "snapshot" of your asset data as it currently exists, you can print this report at any time and as frequently as necessary.

Select Template/Rev Numbers

Use the fields in this group box to select template/revision numbers for the report.

Note:  The Template No field in the Maintain Asset Template Info screen, together with the optional Rev No field, supply the unique identifier for an Asset Template record. A revision number is not required when you set up asset templates. If you have created a template number for which an associated revision number has also been created as part of the identifier, you must then enter the revision number along with the template number to ensure that the proper records will be included in the selection criteria.

Range Option

Use this drop-down box to select a range option. Range options are "All," "One," "Range," "From Beginning," and "To End." The default option for this field is "Range." If you have a large number of template records, you will want to consider selecting a different option than "All" to limit the number of records that print. If you save the print parameters for this report, the selected range option will be stored in the Template/Rev Range Option column in the Query table.

From

Enter the beginning template/revision identifier in these fields, or use Lookup to select one. If you select "All" or "From Beginning" in the Range Option field, these fields will be inactive. If you save the print parameters for this report, the selected "from" value(s)will be stored in the Template No From and Revision No From columns in the Query table.

To

Enter the ending template/revision identifier in this field or use Lookup to select one. If you select "All," "One," or "To End" in the Range Option field, these fields will be inactive. If you save the print parameters for this report, the selected "to" value(s)will be stored in the Template No To and Revision No To columns in the Query table.

Select Depr Status

Use the fields in this group box to select the depreciable and/or non-depreciable status of the templates to include within the parameters of your other report selections. You must select at least one checkbox in this group box.

Depreciable

This checkbox is selected by default.

Select this checkbox to print template data for templates in which the depreciable status has been set to "D" (Depreciable). Uncheck this option to exclude depreciable template records within your selection criteria. If you select this checkbox, "Y" will be inserted into the Select Depreciable column in the Query table when you save the print parameters for this report.

Non-Depreciable

This checkbox is not selected by default.

Select this checkbox to print template data for templates in which the depreciable status has been set to "N" (Non-Depreciable). Uncheck this option to exclude non-depreciable template records within your selection criteria. If you select this checkbox, "Y" will be inserted into the Select Non-Depreciable column in the Query table when you save the print parameters for this report.

Sort By

Use the radio buttons in this group box to select the desired sort option. You can sort the report by template/revision number or by record-added date. Regardless of the sort sequence, all selected pages for a single Asset Template record will print before the next record prints.

Template/Rev No

This is the system default. Select this option to sort the report pages by template/revision number. If you select this radio button, "T" will be inserted into the Sort By column in the Query table when you save the print parameters for this report.

Record-Added Date

Select this option to sort the report pages by the record-added date. For each different record-added date, the data sorts by template/revision number in ascending order. If you select this checkbox, "D" will be inserted into the Sort By column in the Query table when you save the print parameters for this report.

Select Record-Added Dates

Use this group box to select the record-added dates for the report. The record-added date is the date on which the template record was originally created. The record-added date automatically displays in the Date field of the Maintain Asset Template Info and Maintain Asset Desc Info screens and cannot be edited.

Range Option

Use this drop-down box to select a range option. Range options are "All," "One," "Range," "From Beginning," and "To End." The default option for this field is "All." If you save the print parameters for this report, the selected range option, as applicable, will be stored in the Record-Added Range Option column in the Query table.

From

Enter the beginning record-added date in date format. If you select "All" or "From Beginning" in the Range Option field, this field will be inactive. If you save the print parameters for this report, the selected "From" value, as applicable, will be stored in the Date From column in the Query table.

To

Enter the ending record-added date in date format. If you select "All," "One," or "To End" in the Range Option field, this field will be inactive. If you save the print parameters for this report, the selected "To" value, as applicable, will be stored in the Date To column in the Query table.

Print

In the fields in this group box, you can select the page or pages to include in the report for each Asset Template record that falls within your selection criteria.

All Info

This radio button is selected by default.

Select this radio button to print all Asset Template data for the selected records. This option prints all data fields from the Purchase Info, Account Info for G/L Book, Location Info, G/L Book Info, Other Books Info, Government Info, Notes, and User-Defined Info subtasks of the Maintain Asset Template Info screen. (The User-Defined Info data also resides in the Maintain Asset Template User-Defined Info screen.)

If you select this radio button, "A" will be inserted into the Print column in the Query table when you save the print parameters for this report.

Page 1 - All data Exclusive of User-Defined Field Info

Select this radio button to print all data fields from the each selected Asset Template record, exclusive of any User-Defined Field data. This page prints all data fields from the Purchase Info, Account Info for G/L Book, Location Info, G/L Book Info, Other Books Info, Government Info, and Notes subtasks of the Maintain Asset Template Info screen. This page excludes data from the User-Defined Field Info subtask of the Maintain Asset Template Info screen. (The User-Defined Info data also resides in the Maintain Asset Template User-Defined Info screen.)

If you select this radio button, "1" will be inserted into the Print column in the Query table when you save the print parameters for this report.

Page 2 - UDF Info Only

Select this radio button to print data only from the UDF Info subtask of the Maintain Asset Template Info screen. (The User-Defined Info data also resides in the Maintain Asset Template User-Defined Info screen.) This page excludes data from the other subtasks of the Maintain Asset Template Info screen.

If you select this checkbox, "2" will be inserted into the Print column in the Query table when you save the print parameters for this report.

Note:  You can save your sort options and selection criteria for this report with or without printing. After making your selections, select the Save button on the toolbar or Save in the File menu. Enter an alphanumeric identifying code and a short description to help you recognize the report parameters and select OK. Later, you can run Find or Query from this screen to access the print parameters you created and run the same report without re-entering all the screen information again. Stored report parameters are especially useful if reports are to be run through Process Manager.

If you want to keep these parameters but want to run a slightly different report, you can use Clone to copy the parameters and make minor changes to them without changing your saved parameters. Select Clone in the File menu or press [F4]. The Clone window will display on the screen. Enter the parameters ID you want to clone, or select Execute to display a list of parameter IDs from which you can make your selection. When you select the Select pushbutton, the system makes a copy of the parameters, which you can edit as needed.

Table Information

The system stores the Asset Template data displayed in this report in the FA_TEMPLATE (Template) and FA_TMPLATE_OTH_BK (Template Other Books) tables, as applicable.

Lookup in the report selection screen accesses data from the FA_TEMPLATE (Template) table, as applicable.
