PRINT PROJECTED DEPRECIATION

Use this screen to print the results of the calculation from the Compute Projected Depreciation screen. This process calculates depreciation expense for future fiscal years/ periods for currently owned assets and/or projected future asset purchases, by book. You can also view the results of the computation in the Projected Depreciation Expense Inquiry screen.

You can print a summary report by account, or a detailed report that lists future depreciation expense by asset/item number. You can print projections for a range of future fiscal years as well as for one book, selected books, or all books. You can print the data for a range of (including just one), or all, depreciation expense accounts, organizations, projects, and/or all asset/item numbers. Use additional selection criteria to print data by accounting period and to print project subtotals on the report. You can also choose to print the Depr Exp Acct Alloc Codes column on detail reports as well as to specify whether amounts should be displayed on the report in whole numbers.

To generate future period data beginning with the period after the current period from the Posting Settings screen, select the current fiscal year for the report and print the data by accounting period. The total for the current fiscal year is computed by the system by summing the following:

note:  This report prints data on legal-sized paper (8-1/2 x 14) in landscape orientation only.

If you display dollars in whole numbers, data for 12 accounting periods plus a total column (13 total columns) can display on a single report page. If you have more than 12 accounting periods in your fiscal year or if you have display dollars and cents on the report, the additional columns will print on a second report page. Data for each book begins printing on a new page.

You can print the results of computed projected depreciation at any time in this screen after you have run the Compute Projected Depreciation screen. Previously computed projected depreciation expense data remains in the table until a new calculation is run. Run the Compute Projected Depreciation screen before running this report to access the most current data.

Print Future Depr Expense For

Select one or more checkboxes in this group box to specify the type of assets to include in the projected depreciation report. You must select at least one checkbox.

Currently-Owned Assets

Select this checkbox to print projected depreciation for currently owned assets. This checkbox is selected by default.

If you select this checkbox and save the print parameters for this report, "Y" will be stored in the Include Currently Owned Assets column in the Query table.

Projected Purchases

Select this checkbox to print projected depreciation for projected asset purchases. This checkbox is selected by default.

If you select this checkbox and save the print parameters for this report, "Y" will be stored in the Include Projected Purchases column in the Query table.

Report Option

Use the radio buttons in this group box to specify either a summary report that is without individual asset/item number data or a detailed report that prints data for each asset/item number.

Select this radio button to print a summary report without individual asset/item number data. This radio button is selected by default.

If you select this radio button, the Depr Expense Account Alloc Code Column checkbox in the Show group box is disabled. In addition, if this radio button is selected, asset/item numbers are not available as selection criteria.

If you select this radio button and save the print parameters for this report, "S" will be stored in the Report Option column in the Query table.

Detail By Asset

Select this radio button to print a detailed report that includes individual asset/item number data. This radio button is unselected by default.

If you select this radio button, asset/item numbers are available as selection criteria as well as the Depr Expense Account Alloc Code Column checkbox in the Show group box.

If you select this radio button and save the print parameters for this report, "D" will be stored in the Report Option column in the Query table.

Select Depr Exp Accounts

Use the fields in this group box to select depreciation expense account print parameters for the report.

Range Option

Use this drop-down box to select the range option. Valid options are "All," "One," "Range," "From Beginning," and "To End." The default for this field is "All."

If you save the print parameters for this report, the selected Range Option, as applicable, will be stored in the Query table in the Account Range column.

From

Enter, or use Lookup to select, the beginning depreciation expense account. Because this is a standard Lookup to the ACCT table, you may find that you have selected accounts from the Lookup for which projected depreciation data does not exist or does not meet your other selection criteria. In this event, the data you expect to retrieve may not be selected.

If you select "All" or "From Beginning" in the Range Option field, this field will be inactive.

If you save the print parameters for this report, the selected From value, as applicable, will be stored in the Query table in the Account From column.

To

Enter, or use Lookup to select, the ending depreciation expense account. Because this is a standard Lookup to the ACCT table, you may find that you have selected accounts for which projected depreciation data does not exist or does not meet your other selection criteria. In this event, the data you expect to retrieve may not be selected.

If you select "All," "One," or "To End" in the Range Option field, this field will be inactive.

If you save the print parameters for this report, the selected To value, as applicable, will be stored in the Query table in the Account To column.

Select Depr Exp Organizations

Use the fields in this group box to select depreciation expense organization print parameters for the report.

Range Option

Use this drop-down box to select the range option. Valid options are "All," "One," "Range," "From Beginning," and "To End." The default for this field is "All."

If you save the print parameters for this report, the selected Range Option, as applicable, will be stored in the Query table in the Organization Range Option column.

Because this is a standard Lookup to the ORG_ACCT table, you may find that you have selected organizations for which projected depreciation data does not exist or does not meet your other selection criteria. In this event, the data you expect to retrieve may not be selected.

If you select "All" or "From Beginning" in the Range Option field, this field will be inactive.

If you save the print parameters for this report, the selected From value, as applicable, will be stored in the Query table in the Organization From column.

To

Because this is a standard Lookup to the ORG_ACCT table, you may find that you have selected organizations for which projected depreciation data does not exist or does not meet your other selection criteria. In this event, the data you expect to retrieve may not be selected.

If you select "All," "One," or "To End" in the Range Option field, this field will be inactive.

If you save the print parameters for this report, the selected To value, as applicable, will be stored in the Query table in the Organization To column.

Select Depr Exp Projects

Use the fields in this group box to select depreciation expense project print parameters for the report.

Range Option

Use this drop-down box to select the range option. Valid options are "All," "One," "Range," "From Beginning," and "To End." The default for this field is "All."

If you save the print parameters for this report, the selected Range Option, as applicable, will be stored in the Query table in the Project Range Option column.

From

Because this is a standard Lookup to the PROJ table, you may find that you have selected projects for which projected depreciation data does not exist or does not meet your other selection criteria. In this event, the data you expect to retrieve may not be selected.

If you save the print parameters for this report, the selected From value, as applicable, will be stored in the Query table in the Project From column.

Select Asset/Item Numbers

Use the fields in this group box to print the report for asset/item numbers. If you enter a specific asset number, you must also enter a corresponding item number before you can print the report.

If you selected the Summary radio button in the Report Option group box, the Asset No and Item No fields are not available as selection criteria for the report.

Range Option

Use this drop-down box to select the range option. Valid options are "All," "One," "Range," "From Beginning," and "To End." The default for this field is "All."

If you save the print parameters for this report, the selected Range Option, as applicable, will be stored in the Query table in the Asset Range column.

From Asset No, From Item No

Enter, or use Lookup to select, the beginning asset and item numbers for the range. Because this is a standard Lookup to the ASSET table, you may find that you have selected asset/item numbers for which projected depreciation data does not exist or does not meet your other selection criteria. In this event, the data you expect to retrieve may not be selected.

If you select "All" or "From Beginning" in the Range Option field, these fields will be inactive.

If you save the print parameters for this report, the selected From values, as applicable, will be stored in the Query table in the Asset From and Item From columns.

To Asset No, To Item No

Enter, or use Lookup to select, the ending asset and item numbers for the range. Because this is a standard Lookup to the ASSET table, you may find that you have selected asset/item numbers for which projected depreciation data does not exist or does not meet your other selection criteria. In this event, the data you expect to retrieve may not be selected.

If you select "All," "One," or "To End" in the Range Option field, these fields will be inactive.

If you save the print parameters for this report, the selected To values, as applicable, will be stored in the Query table in the Asset To and Item To columns.

Select Fiscal Years

In this group box, enter, or select from the drop-down boxes, the desired fiscal year(s) for which you want to print projected depreciation. You must enter a fiscal year selection in both the From and To fields, even if you only want to print the report for a single fiscal year.

The available fiscal years display in descending order, beginning with the most future fiscal year from the Maintain FA Fiscal Years screen.

From

Enter, or select from the drop-down box, the beginning fiscal year for which you want to print data.

If you save the print parameters for this report, the selected From value will be stored in the Query table in the Fiscal Year From column.

To

Enter, or select from the drop-down box, the ending fiscal year for which you want to print data.

Note:  If you print the data by accounting period, the report prints future period data beginning with the period after the current period (from the Posting Settings screen) if the current fiscal year is selected for the report. If you do not select this option, the report prints the total for the current fiscal year as follows: the FYTD field amount in the Asset Master record plus the Amount Posted Curr Pd amount in the Asset Master record plus amounts calculated for each future period in the current fiscal year.

If you save the print parameters for this report, the selected To value will be stored in the Query table in the Fiscal Year To column.

Show

Use the options in this group box to control display preferences for the report.

Depr Expense Account Alloc Code Column

Note:  This checkbox is available only if you have selected the Detail by Asset radio button in the Report Option group box.

Select this checkbox to print the depreciation expense account allocation code data for each asset/item number on the report. This checkbox is unselected by default.

If you select this checkbox and save the print parameters for this report, "Y" will be stored in the Show Allocation Code column in the Query table.

Amounts as Whole Numbers

Select this checkbox to print depreciation expense amounts on the report in whole numbers without the display of decimals. This checkbox is selected by default.

If you display dollars in whole numbers only, data for 12 accounting periods plus a total column (13 total columns) can display on a single report page. If you have more than 12 accounting periods in your fiscal year, the additional columns will print on a second report page in this circumstance.

Do not select this checkbox if you want the report to display all values in dollars and cents. If you use this option since columns are wider to accommodate the decimals, more data will print on a second report page, as applicable, depending on your selection options.

If you select this checkbox and save the print parameters for this report, "Y" will be stored in the Amounts as Whole Numbers column in the Query table.

Select Books

You must select at least one checkbox in this group box to choose the book(s) for which you want to print projected depreciation expense data. You can select any number of books for the report.

Data for each book begins printing on a new page.

G/L Book

Select this checkbox to print projected depreciation expense for the General Ledger book. This checkbox is selected by default.

If you select this checkbox and save the print parameters for this report, "Y" will be stored in the G/L Book column in the Query table.

Book 2 (or your label)

Select this checkbox to print projected depreciation expense for this optional book. This checkbox is unselected by default.

This checkbox is disabled if the book has not been set up in the Fixed Assets Settings screen. If the book is already established in the Fixed Assets Settings screen, the book name that you assigned during setup displays in place of the generic "Book 2" label.

If you select this checkbox and save the print parameters for this report, "Y" will be stored in the Book 2 column in the Query table.

Book 3 (or your label) – Book 10 (or your label)

Please refer to the documentation for the Book 2 (or your label) field.

Print

Use this group box to control print display preferences for the report.

Period Data

Select this checkbox to print projected depreciation expense by accounting period for the selected fiscal year(s). This checkbox is unselected by default.

If you select this checkbox and save the print parameters for this report, "Y" will be stored in the Print Period Data column in the Query table.

Project Subtotals

Select this checkbox to print subtotals by project for the projected depreciation expense. This checkbox is unselected by default.

If you select this checkbox and save the print parameters for this report, "Y" will be stored in the Print Project Subtotals column in the Query table.

Note:  You can save your selection criteria for this report with or without printing. After making your selections, select the Save button on the toolbar or go to Save in the File menu. Enter an alphanumeric identifying code and a short description to help you recognize the report parameters, and select OK. Later, you can run Find or Query from this screen to access the selection parameters you created, and run the same report without the need to re-enter all the selection screen information again. Stored selection parameters are especially useful if reports are to be run through Costpoint Process Manager.

If you want to use most of the same report selection parameters but want to run a slightly different report, you can use Clone to copy the parameters and make minor changes to them without changing your saved parameters. To use Clone, go to the File menu or press [F4]. The Clone window will display on the screen. Enter the parameters ID you want to clone, or select Execute to display and select from a list of parameter IDs. When you choose the Select pushbutton, the system makes a copy of the parameters, which you can edit and save as desired.
