PRINT ASSET LOCATION REPORT

Use this report to print location information for one, a range of, or all asset/item numbers. You can choose to include inactive records, disposals, and/or non-depreciable records for the asset/item number(s) selected.

You can select a primary sort on the following location-related fields: Location Group, City, State/Province, County, Country, Location 1 Code, Location 2 Code, or Location 3 Code. For each primary sort, records display in ascending asset/item number order. For all sort selections except Asset/Item No, you can also enable a page break each time the selected sort parameter changes.

Because you are not required to use the Maintain Location Info subtask in the Maintain Asset Master Info screen or the Maintain Asset Location Info screen, some of your assets may not have any location information associated with them. Assets for which you have entered no location information will not be included in this report. 

The Asset Location Report provides a current "snapshot" of location data at the time you run the report and can be printed at any time.

Because all location fields for an Asset Master record are optional in Costpoint Fixed Assets, this report is not considered an essential part of the system audit trail. You may want to print this report before you make location changes, however because the history for previous location data is not automatically retained without user intervention. Two options are available to retain previous location data:

You must also select the Asset Master Records checkbox in the Write Change Details to Audit Log for group box (in the Asset/Template Change Settings screen) to indicate if you want the system to write change details to an audit log for location changes made to Asset Master records. You must also choose the specific asset master location fields for which you want the system to capture the change details.

Select Asset/Item Numbers

Use the fields in this group box to select asset/item numbers for the report. If you enter a specific asset number, you must also enter a corresponding item number before you can run the report. Selecting any of the checkboxes in the Select Record Status or Select Depr Status group boxes may also modify which assets are actually included in the report.

Range Option

The default range option for this field is "All." You can accept the displayed default option, enter a different valid range option, or select one from the drop-down box. Range options are "All," "One," "Range," "From Beginning," and "To End," and are standard throughout Costpoint.

If you save the print parameters for this report, the selected Range Option, as applicable, will be stored in the Query table in the Asset Range column.

From

Enter the beginning asset and item numbers for the range or use Lookup to select an asset number and an item number. Because the standard Lookup for the asset/item number is to the ASSET table, you may find that you have selected asset records for which location data does not exist or asset records that do not meet your other selection criteria.  In this event, the data you expect to retrieve from the ASSET table may not be selected.

If you select "All" or "From Beginning" in the Range Option field, these fields will be inactive.

If you save the print parameters for this report, the selected From value, as applicable, will be stored in the Query table in the Asset No From and Item No From columns.

To

Enter the ending asset and item number(s) for the range or use Lookup to select an asset number and an item number. Because the standard Lookup for the asset/item number is to the ASSET table, you may find that you have selected asset records for which location data does not exist or asset records that do not meet your other selection criteria.  In this event, the data you expect to retrieve from the ASSET table may not be selected.

If you select "All" or "From Beginning" in the Range Option field, these fields will be inactive.

If you save the print parameters for this report, the selected To value, as applicable, will be stored in the Query table in the Asset No From and Item No From columns.

Select Record Status

Use this group box to include active, inactive records, and/or disposals. You must select at least one checkbox. The Active checkbox is selected by default. Select as many checkboxes as needed.

Active Records

Select this checkbox to include active records in your print selection criteria. This checkbox is selected by default.

If you select this checkbox and save the print parameters for this report, "Y" will display in the Include Active Records column in the Query table.

Inactive Records

Select this checkbox to include inactive records within the range of records selected for the report. If this checkbox is not selected, the system automatically excludes all inactive records. Asset Master records can be assigned an Inactive status in the Maintain Asset Master Info screen.

If you select this checkbox and save the print parameters for this report, "Y" will display in the Include Inactive Records column in the Query table.

Disposals

Select this checkbox to include disposals within the range of records selected for the report. If this checkbox is not selected, the system automatically excludes all disposals.

You can enter disposals for active records in the Maintain Single/Multiple Disposal Transactions screens. Once the disposal is posted to the General Ledger, the system automatically changes the record's status from Active to Disposal.

If you select this checkbox and save the print parameters for this report, "Y" will display in the Include Disposals column in the Query table.

Select Depr Status

Depreciable Records

Select this checkbox to include depreciable records in your print selection criteria. This checkbox is selected by default.

If you select this checkbox and save the print parameters for this report, "Y" will display in the Include Depreciable Records column in the Query table.

Non-Depreciable Records

Select this checkbox to include non-depreciable records within the range of records selected for the report. If this checkbox is not selected, the system automatically excludes all non-depreciable records. Asset Master records can be assigned a Non-Depreciable status in the Maintain Asset Master Info screen.

If you select this checkbox and save the print parameters for this report, "Y" will display in the Include Non-Depr Records column in the Query table.

Sort Options

In this group box, you can select the sort option for the report. You can sort by only one category at a time, and the default sort selection is by Asset/Item No. If you choose a different sort option, records will be printed in ascending asset/item number order within the primary sort category. Location data prints in the same format, regardless of the selected sort option.

The following sort options are available:

Asset/Item No

Select this radio button to sort the report by asset/item number. If you select this radio button, the Page Break checkbox is disabled.

If you select this radio button and save the print parameters for this report, "ASSET" will display in the Sort Option column in the Query table.

Location Group

Select this radio button to sort the report by location group.

If you select this radio button and save the print parameters for this report, "LOC GRP" will display in the Sort Option column in the Query table.

City

Select this radio button to sort the report by city.

If you select this radio button and save the print parameters for this report, "CITY" will display in the Sort Option column in the Query table.

State/Province

Select this radio button to sort the report by state/province.

If you select this radio button and save the print parameters for this report, "STATE" will display in the Sort Option column in the Query table.

County

Select this radio button to sort the report by county.

If you select this radio button and save the print parameters for this report, "COUNTY" will display in the Sort Option column in the Query table.

Country

Select this radio button to sort the report by country.

If you select this radio button and save the print parameters for this report, "COUNTRY" will display in the Sort Option column in the Query table.

Location1 (or your label)

Select this radio button to sort the report by Location 1.

Note:  You can optionally assign labels for Locations 1, 2, and/or 3 in the Asset Master Field Labels screen. The user-defined labels for these fields automatically display as radio button labels and as column descriptions in the report. If you have not defined labels, "Location1," "Location2," and "Location3," as applicable, will automatically display as column headers in the report.

If you select this radio button and save the print parameters for this report, "LOC1 CD" will display in the Sort Option column in the Query table.

Location2 (or your label)

Select this radio button to sort the report by Location 2.

The user-defined labels for these fields automatically display as radio button labels and as column descriptions in the report. If you have not defined labels, "Location1," "Location2," and "Location3," as applicable, will automatically display as column headers in the report.

If you select this radio button and save the print parameters for this report, "LOC2 CD" will display in the Sort Option column in the Query table.

Location3 (or your label)

Select this radio button to sort the report by Location 3.

Note:  You can optionally assign labels for Locations 1, 2, and/or 3 in the Asset Master Field Labels screen. The user-defined labels for these fields automatically display as radio button labels and as column descriptions in the report. If you have not defined labels, "Location1," "Location2," and "Location3," as applicable, will automatically display as column headers in the report.

If you select this radio button and save the print parameters for this report, "LOC3 CD" will display in the Sort Option column in the Query table.

Page Break

Select this checkbox if you want a page break in the report each time the selected sort parameter changes. For example, if the information is sorted by location group, you should select the Page Break checkbox if you want data for each different location group to begin printing on a separate page. If you choose Asset/Item No as the sort option, this checkbox will be disabled.

If you select this checkbox and save the print parameters for this report, "Y" will display in the Page Break column in the Query table.

Note:  If you want to keep these parameters but want to run a slightly different report, you can use Clone to copy the parameters and make minor changes to them without changing your saved parameters. To use Clone, go to the File menu or press [F4]. The Clone window will display on the screen. Enter the parameters ID you want to clone, or select Execute to display and select from a list of parameter IDs. When you choose the Select pushbutton, the system makes a copy of the parameters that you can edit as needed.

You can save your sort options and selection criteria for this report with or without printing. After making your selections, select the Save button on the toolbar or go to Save in the File menu. Enter an alphanumeric identifying code and a short description to help you recognize the report parameters and select OK. Later, you can use Find or Query from this screen to access the print parameters you created, and run the same report without having to enter all the selection screen information again. Stored report parameters are especially useful if reports are to be run through Process Manager.
