CREATE TRANSFER TEMPLATE

Use this subtask to enter template data that will display in the Edit Transfer Transactions screen for the range of records that you specify. Template data from this screen will display in the Edit Transfer Transactions screen on an interim basis, before you make your final edits and run the process that populates individual asset records.

You should enter template data in this subtask after you have selected the range of records for which you want the data created (in the Create Transfer Transactions screen). If you enter template data and do not want to run the process to populate the Edit Transfer Transactions screen, the data entered in the template will be cleared out when you escape from the screen.

Note:  Data from the template will also be cleared out when you run the process (via the Process button on the toolbar in the Create Transfer Transactions screen).

Template Data

In this group box, you can enter a transfer date and up to eight fields of user-defined transfer data.

Date

Enter the date associated with the transfer record in this required field in date format. The date entered in this field will display in the Edit Transfer Transactions screen for each asset record meeting your selection criteria, where you can edit it. The date from this field will also display in the Maintain Transfer Info screen (if it has not been edited) after you execute the final process to populate the transfer records.

Note:  You can also edit the date directly in the Maintain Transfer Info screen. Different sets of data can be associated with the same date, because the system records a line sequence number that resides "behind-the-scenes" in the Maintain Transfer Info screen.

If you save the selection parameters for this process, the date entered in this field will be stored in the Query table in the Date column.

Transfer1 (or your label)

If you designated a label for the first field in the Transfer Labels group box of the Tracking Field Labels screen (Controls menu), your label description for this field displays. Note that it is not a system requirement that you establish a label for this field. If you did not set up a label, Transfer1 displays as the label for this field.

Note:  You can use this user-defined field independently from each of the other seven user-defined transfer data fields.

Enter up to 20 alphanumeric characters in this optional field.

The data entered in this field will display in the Edit Transfer Transactions screen for each asset record meeting your selection criteria, where you can edit it (after you select the Process button on the toolbar in the Create Transfer Transactions screen and the process has been run). The data from this field will also display in the Maintain Transfer Info screen (if it has not been edited) after you execute the final process to populate the transfer records.

Note:  You can also edit the data directly in the Maintain Transfer Info screen.

If you save the selection parameters for this process, the data entered in this field will be stored in the Query table in the Transfer1 column.

Transfer2 (or your label) – Transfer8 (or your label)

OK/Cancel

When you have entered the desired transfer default data in the template fields and you select the OK pushbutton from this subtask, the system again displays the first screen of the Create Transfer Transactions, in which you can complete the process (by selecting the Process button on the toolbar).

If you select the Cancel pushbutton, the system will clear out the template data entries in this screen. The system will also clear out the template data during processing.

Hint:  You can save selection criteria for this process with or without processing. After making your selections, select the Save button on the toolbar or go to Save in the File menu. Enter an alphanumeric identifying code and a short description to help you recognize the process parameters and select OK. Later, you can run Find or Query from this screen to access the process parameters you created, and run the same report without having to enter all the selection screen information again.

Stored process parameters are especially useful if reports are to be run through Process Manager. If you want to keep these parameters but want to run the process using different selection parameters, you can use Clone to copy the parameters and make minor changes to them without changing your saved parameters. To use Clone, go to the File menu or press [F4]. The Clone window will display on the screen. Enter the parameters ID you want to clone, or select the Execute pushbutton to display and select from a list of parameter IDs. When you click on the Select pushbutton, the system makes a copy of the parameters, which you can edit as needed.

Table Information

The process run from this screen creates new transfer data in the FA_TRACKING_EDIT (Tracking Edit) table.

The system stores user-defined transfer labels, as applicable, in the FA_LABELS (Fixed Assets Labels) table.
