VALIDATED TEXT

To use the validated text user-defined feature, you must first set up the labels and then set up the allowable validated text entries in this subtask. One of the advantages in using validated text data lies in the consistency of the entry format and the subsequent ability to print reports that use this consistent data format.

The data in this screen is company-specific and will be available for use only by your company of login. If you have set up multiple companies in Costpoint, you can enter data in this screen for each company only by using the separate company login for each.

You can enter, edit, view, or use the data in this screen only for your login company. If you have multiple companies, you cannot view, enter, edit, or use the data from this screen for any company other than your company of login.

Although you can set up validated text data for a new label and edit it in this screen at any time, you must establish this information before you can enter this data in the Maintain Asset Master Info screen or the Maintain Asset Template Info screen. To achieve consistency throughout your records, however, you should plan for and establish as much as possible of this setup data during your initialization procedures.

You must enter "Y" in the Validated Text column in the main User-Defined Labels screen before you can access this subtask.

Validated Text Label

This field is not available for user entry. The row that was highlighted when you selected the Validated Text pushbutton on the main screen determines the validated text label that automatically displays in this field. If you want a different validated text label to display in this field, you need to return to the main screen, highlight the desired table row, and select the Validated Text pushbutton. You can enter text data values only for the validated text label that displays in this field.

Short Help Description

The Short Help Description for the label for which you are adding validated text automatically displays in this field and cannot be edited. The row that was highlighted when you selected the Validated Text pushbutton on the main screen determines the validated text label and associated short help description that automatically display. If you want a different validated text label and description to display, you need to return to the main screen, highlight the desired table row, and select the Validated Text pushbutton.

Table Window

Warning:  Technically, in this version of Costpoint, you can use the standard Windows Find and Replace functionalities at any child table window screen (including this screen). You can safely use Find because its sole purpose is to help you locate specified data within the table window.
The Replace function, although powerful when used in the proper circumstances, can also be extremely dangerous. The Replace function will change the specified data when you save the table window and will NOT create an audit trail. In addition, dependent data rules within Costpoint can complicate the Replace functionality.
We recommend  that you NEVER use the Replace functionality in this screen because this function is inappropriate for the data contained in this table window. For more information about Find and Replace, please see the Basic Functions documentation.

Text

Enter up to 20 alphanumeric characters in this required column to create the validated text for the label that displays in the header of the screen. You can enter an unlimited number of validated text selections in this table.

Description

Enter up to 30 alphanumeric characters in this optional column to create a description for the validated text. When you access this data from the Maintain Asset Master Info and Maintain Asset Template Info screens, the description from this field will automatically display along with the validated text.

Table Information

The system stores user-defined validated text data entered in this screen in the UDEF_VALID_VALUES (User-Defined Valid Values) table.
