Use this optional screen to define subclass codes to link with your asset records. If, for example, you had defined "Vehicles" as a classification code, you might optionally set up subclass codes in this screen as "Trucks," "Automobiles," "Vans," and so on to enhance the sorting potential for your asset records.
The setup data in this screen is effective across all companies and is not company-specific. If you have set up multiple companies in Costpoint, all companies can enter, view, and use the data in this screen.
If you have multiple companies and a subclass code that is specific to one company and should not be used by other companies, you need to create a easily identifiable subclass code. Because this is a "Corporate" table for use by all companies and the system cannot enforce company-specific rules, you will need to establish specific internal control procedures on the use of subclass codes.
You must assign both a property type code and a classification code in both an Asset Master record and an Asset Template record. Although you are not required to assign subclass codes, you must first set them up in this initialization screen if you plan to use subclass code functionality.
The only subclass codes you can enter in the Subclass Code fields of the Maintain Asset Master Info main screen (or the Maintain Asset Desc Info screen) and/or the Maintain Asset Template Info main screen are validated subclass codes from this screen.
The primary purpose of subclass codes (as well as property types and classification codes) is to provide selection criteria by which you can choose specialized subsets of records from the database tables. These fields are data fields only and are not used by the system for any processes within Costpoint Fixed Assets. These fields can be very useful, however, when performing online queries, selecting records for global changes, and/or designing custom reports using Impromptu.
When you have completed your entries and/or edits, use the Save button on the toolbar to update the table. During the Save process, the system deletes eligible table rows marked for deletion and re-orders the display sequence.
If you plan to assign subclass codes to your Asset Master records, you must first set up subclass code data in this screen. Because this data is optional, you can optionally add subclass codes as one of the first steps in the initialization process, before you begin to add data in an Asset Master or Asset Template record, or at any time thereafter.
Although you can add to, delete, or change the information in this screen within the system rules at any time, use caution in the timing of your edits, which may affect the types of records included in system reports.
Enter up to six alphanumeric characters in this required field to define a subclass code. The codes that you establish for use with your asset records should be specific to your company requirements. There is no limit to the number of subclass codes that can be set up in this screen.
Enter up to 30 alphanumeric characters in this required field to provide the description for a subclass code. Although only a single character entered in this field fulfills the system requirement for a description, you will find it more beneficial to supply a meaningful description for reports that use this field.
The system stores data entered in this screen in the FA_SUBCLASS_CD (Subclass Code) table.
