Use this alternative menu option to edit, enter additional information for, or view only location data from the fields in the Location Info subtask of an established Asset Master record. This data entry option is available only for existing Asset Master records.
With this menu option, you do not automatically have access to data fields in other Asset Master subtasks; such access rights must be granted by the system administrator for each subtask on a screen-by-screen basis.
If screen rights are set up so the user can access the Maintain Asset Master Info screen, then that screen and ALL its subtasks are automatically accessible to the user.
If screen rights are NOT set up for the user to access the Maintain Asset Master Info screen, the system administrator can alternately grant or deny rights using the direct menu option on a screen-by-screen basis. In this manner, each user can access only the permissible subtasks in an Asset Master record.
When you first bring up this screen, the number of asset records in your database controls the system rules for populating the columns in the table window, as follows:
If you have 1,000 or fewer asset records, this table window will be populated with data for all your asset records. You can then use the Subquery button on the toolbar to select a specific subset of records, if desired.
If you have more than 1,000 asset records, Subquery will be invoked by the system and will display in the table window. You will then need to select the records you want to access using the Subquery screen.
Although the data displays in columnar form in the table window in this screen, data entry functionality and data rules for each column are identical to those for each corresponding field in the Location Info subtask of the Maintain Asset Master Info screen, regardless of which entry screen methodology you establish for each user.
You cannot use this screen to add new asset records. You can enter additional optional data, change existing data, or delete existing data within the system rules already established for Asset Master record that was originally added using the Maintain Asset Master Info screen and its subtasks.
In this screen, unlike maintenance table windows throughout Costpoint, the line functions in the menu bar (New, Insert, Repeat, Delete, and Undelete) are disabled.
There are no system-required columns in this screen.
You can enter/edit a pre-established location group, which identifies a set of pre-established location data that displays in this screen. Alternately, you can skip the Location Group column and enter location data in each of the individual location columns. (Location groups are set up optionally during initialization in the Location Groups screen.)
Alternately, if you enter data in the individual location columns, note that you can set up labels for Location 1, Location 2, and/or Location 3 in the Location Labels for Asset Master group box in the Asset Master Field Labels screen. In addition, you can set up validated data for entry in this screen in the Location 1 Codes, Location 2 Codes, and/or Location 3 Codes screens.
You cannot use this screen to add new asset records. You can enter additional optional data, change existing data, or delete existing data within the system rules already established for Asset Master record that was originally added using the Maintain Asset Master Info screen and its subtasks.
If you want to populate the columns in this screen with data from a location group, you should first set up location groups before you enter data in this screen. You can set up location groups in the Location Groups screen.
If you want to use the user-defined location columns in this screen (Location 1, Location 2, and/or Location 3 codes), you should establish the labels and the validated data before you enter data in this screen. You can establish the labels in the Location Labels for Asset Master group box in the Asset Master Field Labels screen. You can set up the validated location data in the Location 1 Codes, Location 2 Codes, and/or Location 3 Codes screens.
Although you can change the information in this screen at any time, use caution in the timing of your data edits, which may affect the types of records included in system reports.
This non-editable column displays the asset number assigned to this record when the asset was saved in the Maintain Asset Master Info screen.
This non-editable column displays the item number assigned to this record when the asset was saved in the Maintain Asset Master Info screen.
This non-editable column displays the optional short description entered for this record, if applicable.
The description data may have been entered/edited in the Maintain Asset Master Info main screen or in the Maintain Asset Desc Info screen. Any edits to this column must be made in the Maintain Asset Master Info main screen or in the Maintain Asset Desc Info screen.
This non-editable column displays the system-required record status assigned to this record in the Maintain Asset Master Info main screen. The possible display options for this column are "A" (Active), "I" (Inactive), or "D" (Disposal). The system default is "A" (Active). A record must be "Active" to be eligible for depreciation calculations.
This column displays the optional location group entered for this record, if applicable. Data displayed in this column may have been edited in the Location Info subtask of the Maintain Asset Master Info screen or in this screen.
You can edit this optional column or enter up to 10 alphanumeric characters to specify a valid location group for this record. You can also use Lookup from the menu bar to view the available location groups and select the desired location group for use with this record.
If you assign a location group in this column, you cannot edit data in the City, State/Province, Postal Code, Country, or County columns in this screen. In this circumstance, you can return to the Location Groups screen to make appropriate edits, as needed, or you can delete the location group in this column to enter or edit specific location information for the record on a column-by-column basis.
This non-editable column displays the location group description assigned to the location group when the location group was saved in the Location Groups screen. To edit the location group description, you must do so in the Location Groups screen.
This column displays the city data entered for this record, if applicable. Data displayed in this column may have been edited in this screen or the Location Info subtask of the Maintain Asset Master Info screen, or set up as a default in the Location Groups screen.
You can edit this column or enter up to 25 alphanumeric characters only if you did not use a location group. If data displays because you entered a location group that contains city data, you will not be able to edit this column. In this circumstance, you can return to the Location Groups screen to make appropriate edits to the city data, as needed, or you can delete data in the Location Group column to enable you to enter or edit specific city data for this record.
Alternately, if do not use location groups and you enter a postal code in the Postal Code column that has previously been set up in the Maintain Postal Codes screen in Costpoint System Administration, the city name associated with the postal code displays in this column as a default city. In this circumstance, you can overwrite the displayed city data as desired and enter non-validated city data.
This column displays the state/province data entered for this record, if applicable. Data displayed in this column may have been edited in this screen or the Location Info subtask of the Maintain Asset Master Info screen, or set up as a default in the Location Groups screen.
You can edit this column or enter up to 15 alphanumeric characters only if you did not use a location group. You can use Lookup if you need to review the available state/province abbreviations.
If data displays because you entered a location group that contains state/province data, you will not be able to edit this column. In this circumstance, you can return to the Location Groups screen to make appropriate edits to the state/province data, as needed, or you can delete data in the Location Group column to enable you to enter or edit specific state/province data for the record.
You can only enter valid state/province data from the Maintain State and Provinces table in Costpoint System Administration in this column. If you enter state/province data, you must also enter valid data in the Country column.
Alternately, if you do not use location groups and you enter a postal code in the Postal Code column that has previously been set up in the Maintain Postal Codes screen in Costpoint System Administration, the state/province name associated with the postal code displays in this column.
This column displays the postal code data entered for this record, if applicable. Data displayed in this column may have been edited in this screen or the Location Info subtask of the Maintain Asset Master Info screen, or set up as a default in the Location Groups screen.
You can edit this column or enter up to 10 alphanumeric characters only if you did not use a location group. You can use Lookup to review the available country codes.
If you use Lookup to review the postal codes or if you enter a postal code in this column that has previously been set up in the Maintain Postal Codes screen in Costpoint System Administration, the city, state/province, and/or country data associated with the postal code displays in the appropriate columns. In this circumstance, data related to the postal code will overwrite existing data in the City, State/Province, and Country fields, but you can edit the system-populated data as needed. If data displays because you entered a location group that contains postal code data, you will not be able to edit data in this column. In this circumstance, you can return to the Location Groups screen to make appropriate edits to the state/province, country, and postal code data, as needed, or you can delete data in the Location Group column to enable you to enter or edit specific state/province, country, and postal code data for the record.
This column displays the country data entered for this record, if applicable. Data displayed in this column may have been edited in this screen or the Location Info subtask of the Maintain Asset Master Info screen, or set up as a default in the Location Groups screen.
You can edit this column or enter up to eight alphanumeric characters only if you did not use a location group. You can use Lookup if you need to review the available country codes.
If data displays because you entered a location group that contains country data, you will not be able to edit this column. Alternately, if you do not use location groups, if you enter a postal code in the Postal Code column that has previously been set up in the Maintain Postal Codes screen in Costpoint System Administration, the country associated with the postal code displays in this column.

The system stores Asset Master data displayed in this screen (and in the Location Info subtask of the Maintain Asset Master Info screen) in the ASSET (Asset) table.
The system stores the user-defined labels for the location fields in the FA_LABELS (Fixed Assets Labels) table.
Lookups in this screen access data from the FA_LOCATION_GRP (Location Group), FA_LOCATION (Location), and MAIL_STATE (Mail State) tables, as applicable.
