Use this optional screen to enter data for one of three additional user-defined location categories, such as "Building," "Room No," "Bin No," and so on. You can add location code data to the Location Info subtasks of the Maintain Asset Master Info and Maintain Asset Template Info screens (and directly in the Maintain Asset Location Info and Location Groups screens) in addition to the standard City, Count, State/Province, Postal Code, and Country location fields provided.
The data in this screen is company-specific and will be available for use only by your company of login. If you have set up multiple companies in Costpoint, you can enter data in this screen for each company only by using the separate company login for each.
You can enter, edit, view, or use the data in this screen only for your login company. If you have multiple companies, you cannot view, enter, edit, or use the data from this screen for any company other than your company of login.
Location 3 codes and descriptions are set up initially in this screen and can thereafter optionally be entered as "validated data" in the Location Info subtasks of the Maintain Asset Template Info and Maintain Asset Master Info screens (and directly in the Maintain Asset Location Info and Location Groups screens). Only validated codes from this screen can be entered in the Location 3 (or your label) field in the Location Info subtasks. One of the advantages in using validated text data lies in the consistency of the entry format and the subsequent ability to print reports that use this consistent data format.
In addition to being able to enter location codes directly in the Location Info subtasks of the Maintain Asset Master Info and Maintain Asset Template Info screens and directly in the Maintain Asset Location Info screen, you can also optionally establish Location Groups, which operate as location "templates." For each Location Group (template), you can enter a "set" of location information that includes data for the standard location fields as well as for location code data that you set up initially in this screen.
The system provides a default label for this field titled "Location3." As an option, you can overwrite the default label with a label of your choice in the Location Labels for Asset Master group box of the Asset Master Field Labels screen. Note that it is not a system requirement that you establish a different label for this field. If you do not overwrite the default "Location 3" label in the Asset Master Field Labels screen, "Location3" automatically displays as the header for this column or the field descriptor for this field in the Location Info subtasks of the Maintain Asset Template Info and Maintain Asset Master Info screens, in the Maintain Asset Location Info screen, and/or the Location Groups screen.
When you have completed your entries and/or edits, select the Save button on the toolbar to update the table. During the Save process, the system will delete table rows marked for deletion and will re-order the display sequence.
Although you can set up the validated data codes for Location 3 in this screen at any time, this information must be established before you enter the corresponding location data in the Maintain Asset Master Info or the Maintain Asset Template Info screens or directly in the Maintain Asset Location Info screen. To achieve consistency throughout your records, however, it is preferable for you to plan for and establish as much as possible of this set-up data during your initialization procedures.
Although you can add to, delete, or change the information in this screen at any time, use caution in the timing of your edits, which may affect the types of records included in system reports.
If you designated a different label for Location 3 codes in the Location Labels for Asset Master group box of the Asset Master Field Labels screen, your label displays as the header for this table column. If you did not set up a different label for Location 3 in the Asset Master Field Labels screen, "Location 3" automatically displays as the header for this table column.
Enter up to eight alphanumeric characters in this required field to designate a Location 3 code. The codes that you establish for use with your asset records should be specific to your company requirements. There is no virtual limit to the number of Location 3 codes that can be set up in this screen. (Note that if you have a large number of location codes (greater than 1000), you can use Subquery from the menu bar to view them. In this way, you can view the codes without the need to increase the system-wide setting for the number of lines in a child table window.)
You can enter only validated codes from this screen in the Location 3 (or your label) field in the Location Info subtasks of the Maintain Asset Master Info or the Maintain Asset Template Info screens.
Enter up to 30 alphanumeric characters in this required field to provide the description for the Location 3 code. Although only a single character entered in this field fulfills the system requirement for a description, you will find it more beneficial to supply a meaningful description because your entry will display when using Lookup on Location 3 codes and in reports that use this field.
