DISPOSAL TYPES

Use this optional screen to define disposal type codes to link with your asset records when you enter disposal data. You might, for example, set up codes for disposal types such as "Scrapped," "Obsolete," "Stolen," and so on to enhance the sorting potential for your asset records.

The data in this screen is effective across all companies and is not company-specific. If you have set up multiple companies in Costpoint, employees from all companies can enter, view, and use the data in this screen, regardless of company login.

If you have multiple companies and a disposal type code that is specific to one company and should not be used by other companies, you need to create an easily identifiable disposal type code. Because this is a "Corporate" table for use by all companies and the system cannot enforce company-specific rules for use, you will need to establish specific internal control procedures on the use of disposal type codes.

Although you are not required to assign disposal type codes, you must first set them up in this screen if you plan to use disposal type code functionality.

You can enter only validated disposal type codes from this screen in the Disp Type drop-down box in the Disposal Info subtask of the Maintain Asset Master Info main screen (or the Maintain Asset Disposal Info screen or the Maintain Single/Multiple Disposal Transactions screens).

The primary purpose for disposal type codes is to provide disposal information and to allow for disposal selection criteria by which you can choose specialized subsets of records from the database tables. These fields are data fields only and are not used by the system for any processes within Costpoint Fixed Assets. These fields can be very useful, however, when performing online queries, selecting records for global changes, and/or designing custom reports using Impromptu.

When you have completed your entries and/or edits, use the Save button on the toolbar to update the table. During the Save process, the system deletes eligible table rows marked for deletion and re-orders the display sequence.

Note:  If a disposal type code from this screen is currently in use (that is., it has been assigned to the Disp Type field in an Asset Master record (or in the Disposal Type field in the Maintain Single/Multiple Disposal Transactions screens before posting), you cannot delete that code from this screen. If you want to delete it, you must assign a different code in the applicable records (either manually or by using the Asset Master Info Global Changes function). When the disposal type code is no longer in use, you can delete it from this screen.

If you plan to assign disposal type codes, you must first set up disposal type code data in this screen. Because this data is optional, you can add disposal type codes as one of the first steps in the initialization process before you begin to enter disposal data for posting in the Maintain Single/Multiple Disposal Transactions screens, or at any time thereafter.

Although you can add to, delete, or change the information in this screen (within the system rules) at any time, use caution in the timing of your edits, which may affect the types of records included in system reports.

Table Window

Warning:  Technically, in this version of Costpoint, you can use the standard Windows Find and Replace functionalities at any child table window screen (including this screen). You can safely use Find because its sole purpose is to help you locate specified data within the table window.
The Replace function, although powerful when used in the proper circumstances, can also be extremely dangerous. The Replace function will change the specified data when you save the table window and will NOT create an audit trail. In addition, dependent data rules within Costpoint can complicate the Replace functionality.
We recommend that you NEVER use the Replace functionality in this screen because this function is inappropriate for the data contained in this table window. For more information about Find and Replace, please see the Basic Functions documentation.

Code

Enter up to six alphanumeric characters in this required field to define a disposal type code. The codes that you establish for use with your asset records should be specific to your company requirements. There is no limit to the number of disposal type codes that can be set up in this screen.

Description

Enter up to 30 alphanumeric characters in this required field to provide the description for a disposal type code. Although only a single character entered in this field fulfills the system requirement for a description, you will find it more beneficial to supply a meaningful description for reports that use this field.

The system stores data entered in this screen in the FA_DISP_TYPE (Disposal Types) table.
