Use this subtask to enter location information for both new property records and for the initialization of your historical property records.
There are no system-required fields in this screen.
For established Asset Master records only:
You can enter, edit, and view the data from this subtask in a table window format by accessing the Maintain Asset Location Info screen (directly from the Asset Master Records menu). An alternate access route to Asset Master subtask data gives you more flexibility in setting up screen security options for users with different access needs.
If screen rights are set up so the user can access the Maintain Asset Master Info screen from the Asset Master Records menu option, this screen and ALL its subtasks are automatically accessible to the user.
If screen rights are NOT set up for the user to access the Maintain Asset Master Info screen, the system administrator can alternately grant or deny access rights using the direct menu option on a screen-by-screen basis, which correlates directly with the data contained in each subtask. In this manner, each user can access only the data from permissible subtasks in an Asset Master record.
Although the data displays in column form in the table window screen, data entry functionality and data rules for each column are identical to their corresponding fields in the Maintain Asset Master Info screen, regardless of which entry screen you establish for each user.
Each field in this subtask has a corresponding field in an Asset Template record and a corresponding field in a Location Group record. You can enter a pre-established location group, which identifies a set of pre-established location data that automatically displays in this screen. Alternately, you can skip the Location Group field and enter location data in each of the location fields, as desired. Location groups are set up optionally during initialization in the Location Groups screen.
Alternately, if you enter data in the individual location fields, note that you can set up labels for Location 1, Location 2, and/or Location 3 in the Location Labels for Asset Master group box in the Asset Master Field Labels screen. In addition, you can set up validated data for entry in this screen in the Location 1 Codes, Location 2 Codes, and/or Location 3 Codes screens, as desired.
If you wish to use the user-defined location fields in this screen (Location 1, Location 2, and/or Location 3 codes), you should establish the labels and the validated data before you enter data in this screen. You can establish the labels in the Location Labels for Asset Master group box in the Asset Master Field Labels screen. You can set up the validated location data in the Location 1 Codes, Location 2 Codes, and/or Location 3 Codes screens.
You may find that one or more fields in this screen are already populated with default data from a template. The source of this data is determined by the template/revision number that displays in the Template No/Rev No fields in the main screen. Data may have been copied from a default template designated in the Default Template for Asset Master group box in the Fixed Assets Settings screen or from a specified template other than the default. Initial data that displays as a result of using a template can be edited as desired.
Alternately, if the Asset Template does not contain data for these fields from which to provide defaults, you may find that one or more of the fields in this screen are already populated with data from a specified Location Group.
If you use data from an Asset Template or from a Location Group, you should initialize this data before you to begin to enter your Asset Master records.
Although you can change the information in this screen at any time, use caution in the timing of your data edits, which may affect the types of records included in system reports.
Use this group box to view the asset number, item number, and short description of the record that was selected in the Maintain Asset Master Info screen.
This non-editable field displays the asset number from the main screen.
This non-editable field displays the item number from the main screen.
This field automatically displays the short description, if entered, from the main screen. To edit the short description or to add a short description, you must do so in the main screen. This field is not available for user entry in this screen.
Use this group box to enter, edit, or view the location group for this record.
For a new asset record, enter a valid location group in this optional field or use Lookup to search for and select a location group.
A location group identifies a set of pre-established location data that includes address and user-defined fields that automatically display in this subtask. Location groups are set up during initialization (or at other times, as necessary) in the Location Groups screen.

The source of this data is determined by the template/revision number that displays in the Template No/Rev No fields in the main screen. Although you should take care to preserve the integrity of the data with respect to its source, you can always edit data in the Asset Master record, as needed, regardless of the mode of data entry (manually, using autocreation, and/or via the template mechanism).

You can use Lookup to review the available state/province abbreviations.
Only valid state/province data from the Mail State table (the Maintain Postal Codes screen in Costpoint System Administration) can be entered in this field. If you enter state/province data, you must also enter valid data in the Country field.
