PRINT RETROACTIVE BILLING WORKSHEETS

Use this screen to print worksheets for retroactive bills that have been generated by the Calculate Retroactive Billings process (Projects » Billing » Calculate Billings). Retroactive bill worksheets assist you in the review and edit of your retroactive bills by detailing how the bills were calculated. The system produces retroactive bills by applying revised billing rates to invoices previously submitted to the customer. The bills are calculated using revised provisional indirect rates on direct cost amounts for cost-reimbursable projects or using revised loaded labor rates on direct labor hours for loaded labor rate projects. After retroactive bills are calculated, you can edit them in the Edit Standard Bills screen (Projects » Billing » Edit Billings) and print them in the Print Standard Bills screen (Projects » Billing » Print Billings).

Print this report immediately after the Calculate Retroactive Billings process. You do not have to print the report, but we recommend that you do so as part of your internal quality control procedures for retroactive billings.

Each time you execute the Calculate Retroactive Billings screen (Projects » Billing » Calculate Billings), the system deletes any existing rows from the table storing the retroactive bill worksheets. After calculating your retroactive bills, print the worksheets that you have calculated before you execute the Calculate Retroactive Billings process again. This procedure applies even if you are calculating a retroactive bill for a project that is different from an existing worksheet.

Select Project

Use this group box to limit the worksheets that will be printed.

Range Option

Use this drop-down list to select the range of projects you want to print. Valid options are:

The default for this field is All.

From

The value entered in this field varies depending on the range that you have selected. If you have opted to select All projects, this field is inactive. If you have opted to select One project, enter the project in this field. If you have selected to print a Range of projects, enter the starting project in this field. If you have selected the From Beginning option, this field is inactive. If you have selected the To End option, enter that project in this field.

To

The value entered in this field varies depending on the range that you have selected. If you have opted to select All projects, this field is inactive. If you have opted to select One project, this field is inactive. If you have selected to print a Range of projects, enter the ending project in this field. If you have selected the From Beginning option, enter that project in this field. If you have selected the To End option, this field is inactive.

Use to select values from the appropriate table.

List Mode

Select this check box to create a customized, non-contiguous, list in the Noncontiguous Range list box. The list mode function is different from using a Range because you can include or exclude any projects of your choice.

Using the Range drop-down list, select one of the following options:

Enter the project in the From field and/or the To field. Click the Apply button to add this project or range of projects to the Noncontiguous Range list box. Once you have selected the list mode, any projects appearing in the From/To range will not be printed unless they have been added to the Noncontiguous Range list box with the Apply button. To remove a selection from the Noncontiguous Range list box, highlight the row and click the Remove button.

Noncontiguous Range

Use this field to select a noncontiguous range of projects that will print on the report.

Apply

After you have selected the List Mode check box and entered a To/From project, click the Apply button to include the project (or range of projects) to be printed in the noncontiguous range.

Remove

Click this button to remove a project or a range of projects that you previously selected.

Select Calculation Type

Use this group box to select which type of retroactive bill you want to print.

Loaded Labor Rates

Select this option to print only the projects that have been calculated using revised loaded labor rates.

Indirect Costs

Select this option to print only the projects that have been calculated using revised provisional indirect cost rates.

Group By

Use this group box to control how the loaded labor rate information will be sorted on the bill. This group box is unavailable if the Indirect Costs calculation type is selected.

Billable Labor Cat

Select this option to sort based on the billable labor category.

Employee

Select this option to sort based on the employees.

Source Table
