POST STANDARD BILLS

The Standard Billing Journal contains project billings computed and updated in the Edit Standard Bills screen (Projects » Billing » Edit Billings). Use this screen to post invoices with a status of Selected. The journal debits the billed receivable that has been assigned in the project's project account group. Unbilled amounts are posted to the unbilled receivable account that has been identified in the project’s project account group.

If discounts have been taken, these amounts are posted and shipping charges and sales tax are accrued.

When you post a bill in a currency other than your company's functional currency, the system stores information about both currencies in AR_HDR_HS.  If your billing currency changes during the life of the project, you should use the Update Billing currency toolkit in the Miscellaneous Toolkits screen (Projects » Billing » Utilities).

You can print and post the Standard Billing Journal to the ledger as many times as necessary during an accounting subperiod. Failure to post the Standard Product Billing Journal may result in an overstatement of your unbilled receivables and an understatement of billed receivables. You can print the Journal without posting to the General Ledger. However, you must print the journal before posting.

Select Subperiod

Use these options to select the fiscal year, period and subperiod in which you want to post invoices. Invoices marked "Selected" will be posted.

Select Project

Use these options to select the range of projects for which you want to post invoices. If you are using billing user groups and/or billing cycles, you can post invoices only for those projects that are authorized for your user group and/or billing cycle.

Range Option

Use this drop-down list to select the range of projects to be included. Valid options are:

From

Enter, or use to select, the starting project for the range you want to include. If you select All or From Beginning in the Range Option field, this field will be inactive.

To

Enter, or use to select, the ending project for the range you want to include. If you select All, One, or To End in the Range Option field, this field will be inactive.

Select Bill User Group

Use these options to select the range of user groups for which you want to post. You are limited to user groups to which you belong. Your selection of projects will be limited to those included in the range of user groups selected.

Select Billing Cycle

Use these options to select the range of billing cycles for which you want to post. Your selection of projects will be limited to those included in the range of billing cycles selected.

Journal Status

The status of the journal is displayed in this field. When you enter the screen, the status is Not Printed. After you print the journal, the status changes to Printed. The journal status must be Printed before you can post.

The Post Bills icon on the toolbar will not be available until the journal entry has been printed.

Post Bills

Click this icon on the toolbar to post the bills. This icon will not be available until you have printed the journal entry.

Print/Post Bills

Click this icon on the toolbar to print the journal entry and post the bills.
