LINE 10 DETAIL

Use this subtask's "drill-down" feature to review and edit the individual transactions that compose the billing lines. This screen is available when you highlight line10 of the form 1443 on the main screen.

After you edit the billing lines, incorporate the changes into the bill by using the Recalculate button. This process brings the changes into the main screen and changes the affected bill lines.

You can edit the Billing Amount, Write Off Amount, Hold Amount, Write Off Description, and Hold Reason Description. Exercise caution when changing a billing amount. If billing amounts are changed here, the inception to date incurred costs will not match billed amounts.  The best method of correcting billing amounts is to adjust the transaction in the original source journal.  Note that you cannot edit the Write Off Amount and Hold Amount fields of subcontractor delivery invoices included on line 10. Because this transaction is obtained from the Maintain Subcontractor Progress Payments screen, it is not possible to distinguish a partial transaction. If a subcontractor transaction for line 10 needs to be placed "On Hold," you can accomplish this by changing the Accepted field in the Maintain Subcontractor Progress Payments screen. If a subcontractor invoice in the Maintain Subcontractor Progress Payments screen does not contain a Y in the Accepted field, it is excluded from billing calculations.

Project

This non-editable field displays the project from the main screen. The name of the project displays in the field to the right.

Line No

This non-editable field displays the line number for which detail is being provided.

Billable Line Costs

Information in this group box summarizes billable costs on the main screen.

Current

This non-editable field displays the current billable amount from the Maintain Open Billing Detail screen (Projects » Billing » Prepare Billings) or Maintain Subcontractor Progress Payments screen (Projects » Billing » Billing History). Note that the progress payment bills always print inception-to-date amounts.

Previous

This non-editable field displays the ITD amount from the previous bill for this bill line. The Maintain Closed Progress Billing Detail screen (Projects » Billing » Billing History) is the source for this field.

ITD

This non-editable field is the sum of the Current and Previous billable lines.

Table Window

Transaction Project

This non-editable field displays the project to which the transaction was posted.

Account

This non-editable field displays the account to which the transaction was posted.

Organization

This non-editable field displays the organization to which the transaction was posted.

Ref 1

This non-editable field displays the reference number 1 to which the transaction was posted, if applicable.

Ref 2

This non-editable field displays the reference number 2 to which the transaction was posted, if applicable.

Fiscal Year

This fiscal year to which the transaction was posted is displayed in this non-editable field.

Period

This period to which the transaction was posted is displayed in this non-editable field.

Subperiod

This subperiod to which the transaction was posted is displayed in this non-editable field.

Type

This non-editable field displays the type of transaction. The type will either be:

Pool

This non-editable field displays the pool number that burdened the transaction. It is applicable only to transaction lines with B and COM types.

Transaction Amount

This non-editable field displays the amount of the transaction that was posted.

Billing Amount

This field displays the amount of the transaction that was billed. The billing amount will initially be equal to the transaction amount.  The amount in this column can be changed.  The best way to make changes to the billing amounts is by adjusting the transaction in the original source journal.

Write Off Amount

This field displays costs that were previously placed on hold and now have been determined to be unbillable at any time. This field can be edited. Changing this field will automatically change the Billing Amount.  If this bill is recalculated the write off amount will be reset.  If the bill is posted with an amount in this column, the amount will be permanently written off.

Hold Amount

This field displays the portion of the Transaction Amount that was placed on hold and excluded from the bill. This field can be edited. Changing this field will automatically change the Billing Amount. Once an amount is placed in this column, you must manually edit the billing amount column to include the amount on the bill.  If you recalculate the bill the amount in this column will remain on hold. 

Partial Transaction Previously Billed

This non-editable field displays the billing history amount for previously billed transactions.

ID Type

This non-editable field displays the ID type, either Employee or Vendor, for labor transactions.

ID

This non-editable field displays the employee or vendor ID for those transactions with an ID Type.

Name

This non-editable field displays the full employee or vendor name for the selected ID.

PLC

This non-editable field displays the Project Labor Category (PLC) of the transaction.

PLC Description

The PLC description is displayed in this non-editable field.

Voucher Number

This non-editable field displays the voucher number, if the transaction was entered in Costpoint Accounts Payable.

A/P Invoice ID

This non-editable field displays the invoice number, if the transaction was entered in Costpoint Accounts Payable.

Timesheet Date

The timesheet date of the transaction is displayed in this non-editable field.

Comments

A general comment on the transaction is displayed in this field.

Journal Code

This non-editable field displays the journal that was used to enter and post the transaction.

Source

This non-editable field displays the source of the transaction, either System or User.

Write Off Description

This field displays the reason that any amounts have been written off. This field can be edited.

Hold Reason Description

This field displays the reason that any amounts have been placed on hold. This field can be edited.

GLC

This non-editable field displays the General Labor Category (GLC) assigned to the employee on this transaction.

GLC Description

This non-editable field displays the description of the GLC assigned to the employee on this transaction.

Cash Receipt Number

This non-editable field displays the cash receipt number if the journal is a cash receipt.

Description

This non-editable field displays the description of the transaction as it was entered.

Recalculate

If you edit the Billing Amount, Write Off Amount, or Hold Amount fields, you must click the Recalculate button before leaving this subtask. This action changes the bill line and incorporates your edits into the bill by mathematically changing the lines that have been affected.
