Use this screen to delete customers who have no current activity. You can purge one customer or a range of customers.
To prevent the accidental deletion of data, we recommend that you restrict user access to this screen. Other users should be out of all Costpoint Accounts Receivable screens before you activate the purge process.
Following your company procedures, first identify which customers should be included in your purge. Verify that this data does not need to be retained in the system for future audits.
Before the purge process is activated, the system checks the status of all customers within the range selected for the purge. A range of customers will not be purged if any of them fit the following criteria: a customer that exists on the Maintain Project Master screen in Costpoint Project Setup; a customer that has a positive or negative A/R balance (not equal to zero); a customer that has unposted bills or invoices; and a customer that has cash receipts history.
Although this process can be run at any time, you should normally run this process to clear out unneeded customers and free up database space. We suggest archiving customer data before purging.
Use this group box to select the customers to be purged.
Use the drop-down list to select the range to include in this purge. This will indicate the customers, by range, that will be included. Valid options are All, One, Range, From Beginning, and To End. The default for this field is All.
Enter the starting customer range for the alphabetical range you want to include in the purge. If you select All or From Beginning in the Range field, this field will be unavailable.
Enter the ending customer range for the alphabetical range you want to include in the purge. If you select All, One, or To End in the Range field, this field will be unavailable.
Select this check box to create a customized purge list in the list box. The list mode function is different from using a Range because the list mode allows for a custom selection that will include or exclude any customers of your choice.
Use the Range drop-down list to select One, Range, From Beginning, or To End. Use or enter the customer account in the From field and/or the To field. Click the Apply button to add this account or range of accounts to the list box. Once you have selected the list mode, any customer accounts appearing in the From/To range will not be purged unless they have been added to the list box with the Apply button. To remove a selection from the list box, highlight the row and select the Remove button.
Click this button to add a customer or a range of customers to the list box. You must select the List Mode check box for this button to be available.
Click this button to remove a customer or a range of customers from the list box. You must select the List Mode check box for this button to be available.
Use this group box to select the period for which you want to purge customers. Costpoint will use this period ending date as a reference point for the purge. If, as of that date, a customer has any open balance, cash receipts history, or unposted bills or invoices, or if the customer exists on the Maintain Project Master screen in Costpoint Project Setup, the customer will NOT be purged.
Enter, or use the drop-down list to select, the fiscal year from which you want to purge the customers.
Enter, or use the drop-down list to select, the period from which you want to purge the customers.
Select this check box to purge all selected customers that pass validations. If this check box is NOT selected, the purge process will stop when the system encounters a customer with a balance that is not zero, that exists in the Maintain Project Master screen in Costpoint Project Setup, that has unposted bills or invoices, or that has cash receipts history.
Select this check box to print a list of all customers selected for deletion before you activate the purge process. Although you can execute this purge without first printing the list, we suggest that you always print the list first to review before beginning the purge process. If this check box is left unchecked, only the Purge Customers button on the toolbar will be available (you will not be able to print).
Click this button on the toolbar to simultaneously print and purge the selected customers. This button is available only if you have selected the Print list of purged Customers check box. This option does not give you the opportunity to review the data to be deleted before the purge process is executed, but it will ensure that a report is printed afterwards for your records.
Click this button on the toolbar to delete the customers. This button will be your default when you have selected the Print list of purged Customers check box. No record of purged transactions will print when this button is used.
