SET UP PROJECTS TAB

This is the first step in the Costpoint to P3 interface. Use this tab to set up mappings between Costpoint Project IDs and P3 Project Group and/or Project IDs and Activity IDs. Also indicate the burden type to be transferred for each mapped P3 Project ID.

After logging into Costpoint, you must also log into P3 through the interface before using the Set Up Projects tab. You can update this tab at any time; however, you will normally populate it when initializing the interface and before populating the Set Up Resources tab and moving data into P3. Once you have defined Project Mappings, you will not need to modify them unless there are changes to the project structure (i.e., when new tasks are added).

Note: Before filling out the Mapping tab, you must create Projects in Costpoint and create and assign Activities in P3.

Range

Use the drop-down box to select the Costpoint project IDs to be mapped to P3 Project and Activity IDs. Valid options are "All," "One," "Range," "From Beginning," and "To End." The default for this field is "All."

Note: We do not recommend choosing "All" unless the expected number of Project IDs is small or the majority of projects are maintained in P3.

From

Enter, or use Lookup to select, the starting Costpoint Project ID to be added to the mapping table. If you select "All" or "From Beginning" in the Range field, this field will be inactive. Manually entered Project IDs must be a valid entry in Costpoint's Project table.

To

Enter, or use Lookup to select, the ending Costpoint Project ID to be added to the mapping table. If you select "All," "One," or "To End" in the Range field, this field will be inactive. A manually entered Project ID must be a valid entry in Costpoint's Project table.

Fill Table

Select this pushbutton to populate the Costpoint Project column of the mapping grid with all Costpoint Project IDs defined by the selected range.

Note: When you select the Fill Table pushbutton, the mapping grid will also include any records that were previously mapped to the selected range of Costpoint Project IDs.

Save

Select this pushbutton to save the project setup and mappings that you entered.

Costpoint Project

When you select the Fill Table pushbutton, this non-editable column is populated with Costpoint Project IDs in accordance with the selected Range.

P3 Project

Enter, or use Lookup to select, a P3 Project Group-Project ID-Activity combination (Project Group is optional).

P3 Activity

Enter, or use Lookup to select, a P3 Activity ID. You can use only P3 Activity IDs created as part of a Project Group or Project. Use this field to indicate the mapping between a Costpoint Project ID and a P3 Project Group or a Project ID and a P3 Activity ID.

Burden Type

Enter, or use Lookup to select, "T" (Target), "A" (Actual), or "N" (None) for each mapped P3 Project and Activity ID ("T" is the default). If you chose "A," the interface uses the year-to-date actual indirect rates.

Costpoint Project Name

This non-editable column displays the Costpoint project name associated with the Costpoint Project.

P3 Project Name

This non-editable column displays the P3 Project Title associated with the P3 Project.

P3 Activity Name

This non-editable column displays the P3 Activity Name associated with the P3 Activity.

P3 Activity Prefix

This non-editable column displays the P3 Activity Prefix associated with the P3 Activity.

P3 Project Group

Enter, or use Lookup to select, the P3 Project Group to be added to the mapping table, if applicable.

P3 Project Title

This non-editable column displays the P3 Project Title associated with the P3 Project.

Screen Error Messages:

This Project is not valid. Costpoint Project ID does not exist for the active company.
You have entered an invalid project ID in one of the Range selection fields. The project ID entered either does not exist, or (in Costpoint 5.0) does not exist for the active company. Use Lookup to see a list of valid project IDs.
Invalid Burden Type.
Valid entries for this field are "T," "A," or "N."
Cannot save record on row #1 since the P3 Project and Activity is already mapped to another Costpoint project.
You can map a Project Group-Project-Activity ID combination to one Costpoint Project ID. The mapping table maintains the integrity of a one-to-one relationship between Costpoint and P3 values.
Cannot modify this record since it is already used for P3 Resource Mappings.
In order to change this mapping, you must first delete the resource mappings associated with the original mapping.
The New (changed) P3 Project 'XXXX' does not have the P3 activity 'XXXX'. You must select/enter another activity.
You changed the P3 Project, and the old P3 activity is not one of the new activities associated with the new P3 project. You must enter or select a valid P3 activity for the new P3 project.
