UPLOAD RETIREMENT BENEFITS CHANGES

Use this screen to update employees' payroll deductions with changes made to their retirement benefits (i.e., deductions with 401(K), 403(B), 408(K), 457, or 501(C) percentages or amounts). You must use this screen to upload changes into Deltek Costpoint if the Immediate Update of Deferred Compensation Deductions checkbox is unchecked in the Deferred Compensation Settings subtask of the ESS Company Settings screen. You can use this screen to print the Employee 401(K)/403(B) Changes Report, which lists the changes being made.

An employee can change the deduction method for existing deductions, so this process updates the employee record with the deduction method(s) in the Employee Deductions screen in Costpoint Employee (Payroll Deductions screen in Costpoint Payroll in Costpoint 4.0). You can also use ESS to add new retirement deductions that were not assigned to the employee, and this process inserts the new deductions (in addition to updating existing ones) from an ESS staging table.

If you selected the Employee Deductions checkbox (Payroll Deductions checkbox in Costpoint 4.0) in the Enable Audit File Tracking group box in the Payroll Settings screen in Costpoint Payroll, and you execute this screen, the system will insert an audit record into the Employee Deduction Audit table with the uploaded information. You can view this information in the Audit Inquiries menu in Costpoint Payroll.

Note: For Costpoint version 4.0, all references to "taxable entity" refer to "company."

If the Immediate Update of Deferred Compensation Deductions checkbox is unchecked in the Deferred Compensation Settings subtask of the ESS Company Settings screen, run this process after reviewing retirement benefits changes in the Maintain ESS Retirement Benefit Elections screen and before computing payroll.

Select Taxable Entity ("Company" in Costpoint 4.0)

All Taxable Entities

Select this checkbox to upload retirement benefits changes for employees of all taxable entities ("companies" in Costpoint 4.0). Selecting this checkbox disables and clears the Taxable Entity field. If you do not select this checkbox, the Taxable Entity field will be enabled.

Taxable Entity ("Company" in Costpoint 4.0)

If you did not select the All Taxable Entities checkbox, enter, or use Lookup to select, the ID of the taxable entity ("company" in Costpoint 4.0) whose employees' retirement benefits changes (and applicable payroll deductions) will be uploaded from ESS into Costpoint. Only records in which employees have made changes in ESS and are assigned to this taxable entity will be uploaded. The Taxable Entity field can be up to 10 alphanumeric characters, and the description that is associated with the taxable entity ID (up to 40 alphanumeric characters) defaults. Taxable entity information is established in the Set Up Company Info screen in the Organizations menu in Costpoint General Ledger. 

Report Status

This non-editable group box displays the report status.

Note: The Employee 401(K)/403(B) Changes Report lists the retirement benefits percent/amount changes made by employees of the selected taxable entity ("company" in Costpoint 4.0) when the Immediate Update of Deferred Compensation Deductions checkbox is unselected in the Deferred Compensation Settings subtask of the ESS Company Settings screen.

Preview, Print, Process, Process/Print

Once you have entered the Taxable Entity ID whose retirement benefits changes will be uploaded, you can select the following buttons on the toolbar. The program will print a report that lists the retirement benefits percent/amount changes made by employees of the selected taxable entity:

Select this button to preview the retirement benefits information that will display on the report. 

Print

Select this button to print the specified retirement benefits information.   

Process

This button is enabled after you have printed the report.  Use this button to upload and process the retirement benefits information.

Process/Print

Use this button to upload, process, and print the retirement benefits information.
