POPULATE OPEN ENROLLMENT BENEFIT OPTION/ELECTION TABLES

Use this application to download employees' open enrollment benefit options/elections from Deltek Costpoint into the Benefits screens in ESS. This application contains two options for downloading non-FSA benefits data: Current Elections and Benefit Options. Select the Current Elections checkbox to download employees' elections as of the download/process date. Select the Benefit Options checkbox to download all benefit options offered to an employee for the plan year defined by Plan Year Start Date and Plan Year End Date in the ESS Company Settings screen. All options, including the cost to the employee, are downloaded based on the employee's assigned benefit package. This application also contains two options for downloading FSA benefits data:  Medical Care and Dependent Care. Select the Medical Care checkbox to download employees' medical care FSA elections as of the download/process date. Select the Dependent Care checkbox to download employees' dependent care FSA elections as of the download/process date.

Note: After you complete the download and employees have made their benefits and elections changes in ESS, you can use the ESS Open Enrollment Benefit Elections screen to view and/or change these elections for each employee. 

Run this process before your open enrollment and after updating your Benefit Plan Setup screen with the benefit information for the upcoming year. 

Select Taxable Entity

All Taxable Entities

Select this checkbox to include all employees of all applicable taxable entities ("companies" in Costpoint 4.0) in the download process. If you do not select this checkbox, the Taxable Entity field will be enabled.

Taxable Entity

Enter, or use Lookup to select, the ID of the taxable entity ("company" in Costpoint 4.0) whose employee's open enrollment benefit options/elections information will be downloaded from Costpoint into ESS. Only records in which employees' current elections and/or benefit options are valid will be downloaded. The Taxable Entity (Company in Costpoint 4.0) field can be up to 10 alphanumeric characters, and the description that is associated with the taxable entity ID (up to 40 alphanumeric characters) will default. Taxable entity information is established in Costpoint General Ledger in the Organizations menu.

Select Employees

Use this group box to select all or specific employees whose benefit options/elections information will be downloaded from Costpoint into ESS. 

Range Option

Use this drop-down box to select the range to include in the download. Valid options are "All," "One," "Range," "From Beginning," and "To End." The default for this field is "All."

From

Enter, or use Lookup to select, the employee ID with which to start.

To

Enter, or use Lookup to select, the employee ID with which to end.

Include

Use this group box to indicate the benefits information that will be downloaded from Costpoint into ESS.

Current Elections

If you select this checkbox and select the Process/Print button on the toolbar, the Employee Current Benefit Elections table (HB_EMPL_CURR_ELEC) will be populated with employees' current benefit elections from the Employee Benefit Elections screen in Costpoint Employee (Costpoint Benefits for Costpoint 4.0). ESS will link to this table, download the information into the appropriate screens in the ESS Benefits menu, and display each employee's existing benefits elections in the Download Current Elections Report. The download will also include dependent elections from the Assign Dependents to Benefit Plans screen, and Medical/Dependent Flexible Spending Account elections (FSA) will also be included from the Employee Medical Care FSA Elections and Employee Dependent Care FSA Elections screens, respectively. The current cost to the employee for these elections will be included based on the cost calculation criteria in the Benefit Plan Setup screen in the Benefit Information menu in Costpoint Benefits.

Benefit Options

If you select this checkbox and select the Process/Print button on the toolbar, the Employee Open Enrollment table (HB_EMPL_OPENENROLL) will be populated with all employees' available benefits options for the benefit plan year based on the assigned Benefit Package in the Employee Benefit Elections screen in Costpoint Employee (Costpoint Benefits in Costpoint 4.0). You must assign the benefit package to all employees of the selected taxable entity ("company"

in Costpoint 4.0) before open enrollment so that these options can be viewed during the open enrollment period.    

Note:  If an employee is eligible for benefit coverage, but does not exist in the Employee Benefit Elections screen, this application will use the Benefit Package Defaults table to determine a default Benefit Package for the employee.   You can also assign a Benefit Package code to employees in the Employee Benefit Elections screen for them to be included in the download process.  No coverage elections are required.  Benefit package information is established in the Benefit Packages screen in the Benefit Information menu in Costpoint Benefits.

ESS will link to this table, download the information into the appropriate screens under the ESS Benefits menu, and display the employee's benefit options for the open enrollment period in the Download Benefits Options Report.  The download process will include all benefit options available to employees as of the current plan year, as defined by the Plan Year Start Date and Plan Year End Date in the ESS Company Settings screen. The FSA options will also be included based on the maximum amount in the Dependent Care FSA Setup and Medical Care FSA Setup screens (in Costpoint Benefits) for the New FSA Year in the ESS Company Settings screen.

FSA Elections/Options

 Select the Medical Care and/or Dependent Care checkboxes to include Medical Care and/or Dependent Care FSA Election information in the report.

Medical Care

Select this checkbox to include Medical Care FSA Elections and/or Options in download.  This checkbox will be enabled if you select either the Current Elections or Benefit Options checkboxes on this screen.

Dependent Care

Select this checkbox to include Dependent Care FSA Elections and/or Options in download.  This checkbox will be enabled if you select either the Current Elections or Benefit Options checkboxes on this screen.

Report Status

This non-editable field displays the report status.

Note: If you selected the Current Elections checkbox and/or Benefits Options checkbox, the Download Current Elections Report and/or Download Benefit Options Report will print, respectively, when you select the Print or Process/Print buttons from the toolbar.  Medical Care and/or Dependent Care FSA Election information will also be included in the report depending on your selections in the FSA Elections/Options group box.

Preview, Print, Process, Process/Print

Once you have entered the Taxable Entity ID (Company ID in Costpoint 4.0), you can select the following buttons on the toolbar. The application will print a report that lists the current elections and benefit plan options by employee.

Preview

Select this button to preview the employee benefit options/elections information that will display on the report. 

Print

Select this button to print the employee benefit options/elections information as it exists in Costpoint. Once the report has printed successfully (the Report Status field will read "Report Printed"), you can select the Process button to download this information. 

Process

This button is enabled after you have successfully printed the employee benefit options/elections report (the Report Status field will read "Report Printed").  Use this button to download and process the employee benefit options/elections information from Costpoint into the ESS Benefits applications.

Process/Print

Select this button to download, process, and print the employee benefit options/elections information.
