ESS GLOBAL SETTINGS

Use this screen to change specific global settings, such as login availability and Personal Identification Number (PIN) options. 

Set up this screen when initializing ESS. Also update this screen when you need to change the contents of the ESS 3.1 Employee Directory. 

Settings

Enable ESS Logins

Select this checkbox to allow employees to log into ESS online. If you do not select this checkbox, all ESS logins will be disabled.  For example, you may want to unselect this checkbox when you do not want changes made to data during payroll processing, or when database maintenance (e.g., backups) requires that access to the database be temporarily suspended. The default for this checkbox is selected.

ESS Version

This field displays the version of ESS to which you have access. 

PIN Options

Minimum PIN Length

Use this drop-down box to select the minimum string length allowed for an ESS Personal Identification Number once the employee changes it. The options are 1 - 25. The default is "8," the length of the initial PIN when an employee first logs in to ESS online. 

Initial PIN Method

Note: If you selected the Set PIN using Initial PIN Method from ESS Global Settings checkbox in the Set/Reset Login Info screen, employees' initial PINs (for a given taxable entity ("company" in Costpoint 4.0)) are set according to the method you select in this group box.

Use this group box to select the method that will be used by the Set/Reset Login Info screen, Maintain Employee Master and/or Basic Employee Info screen, and Employee Basic Preprocessor application to set employees' ESS PIN IDs when they first log into ESS.   

4-DigitYear of Birth + Last 4-Digits of SSN

If you select this radio button, an employee's initial PIN will be his year of birth (i.e., "19xx") plus the last four digits of his social security number, as indicated in the Basic Employee Info screen. 

Random 8-Digit Number

If you select this radio button, an employee's initial PIN will be a random number, which you can obtain by using the Print Login Info application. 

Note: This option is available only if you are using ESS version 2.0 or earlier.

After an employee's initial login, he can change his PIN ID online in ESS, provided the PIN ID is at least as long as the value in the Minimum PIN Length field.  ESS Administrators can also change employees' PINs in the Change PIN screen under the Administration menu in ESS.

Employee Directory Settings

Use these drop-down boxes to select the six fields to display in the ESS 3.1 Employee Directory screen.  The options for these drop-down boxes include: "Employee Name," "Title," "Org Name," "Org ID," "Work Phone," "Work Email," "Labor Location," "GLC," "Employee Class," "Full/Part Time," "GLC Description," and "Manager Name."  Only the first two drop-down boxes require selection. These drop-down boxes will be enabled only if you are using ESS 3.1.

Note: You must select the "Employee Name" option in order to save the ESS Global Settings record.
