ACTIVATE ESS USERS

Use this application to specify which employees are active ESS 3.1 users.  An employee cannot access ESS 3.1 unless he exists in the Active ESS Users table. You can also use this application to determine the number of current/active ESS licenses, and the allowable maximum number of ESS licenses.

Use this screen whenever you need to add new employees that should have access to ESS, or when removing employees that should no longer have access to ESS. The employee record must exist in the Basic Employee Info screen and must have a Class of Service that is not "None."

Current Employees

Use this table window to select employees to be active ESS users. This table window populates with all employees who are not activated to use ESS (i.e., the employee does not exist as a row in the Active ESS Users group box.) You can change the fields in this table window in the Maintain Employee Master and/or Basic Employee Info screens.

Employee

This field displays the employee ID.

Name

This field displays the name of the employee.

Class of Service

This field displays the Class of Service from the Class of Service drop-down box in the Maintain Employee Master screen. The individual employee setting in the Class of Service field determines the applications that the employee can use in ESS to access personal information.

Taxable Entity (Company in Costpoint 4.0)

This field displays the taxable entity ("company" in Costpoint 4.0) to which this employee belongs. Taxable entity IDs are established in the Set Up Company Info screen in Costpoint General Ledger.

Hire Date

This field displays the date on which the employee was hired. The value in this field is from the Current Hire field in the employee record.

Term Date

This field displays the date on which the employee was terminated, if applicable. The value in this field is from the Termination field in the employee record.

Select, Deselect

After highlighting the employees that you would like to grant access (in the Current Employees table window), click the Select pushbutton to add the employee rows to the Active ESS Users table window. To remove active employees, select the applicable employee rows in the Active ESS Users table window and click the Deselect pushbutton. Selecting either pushbutton after adding or removing employees will recalculate the value in Total Active ESS Users field.

Load Current Employees with Class of Service

Select this pushbutton to clear the Active ESS Users table and populate it with all employees that have a Class of Service other than "None" (in the Current Employees table window). Selecting this pushbutton will recalculate the value in Total Active ESS Users field.

Active ESS Users

Use this table window to view the current active list of active ESS users. Once you select the applicable employee rows in the Current Employees table window, click the Select pushbutton to populate this table window, thereby enabling ESS access for the employee(s). Similarly, select the Load Current Employees with Class of Service pushbutton to clear the Active ESS Users table and populate it with all employees that have a Class of Service other than "None" (in the Current Employees table window). You can change the fields in this table window in the Maintain Employee Master and/or Basic Employee Info screens.

Employee

This field displays the employee ID.

Name

This field displays the name of the employee.

Class of Service

This field displays the Class of Service from the Class of Service drop-down box in the Maintain Employee Master screen. The individual employee setting in the Class of Service field determines the applications that the employee can use in ESS to access personal information.

This field displays the maximum number of ESS users for which your organization is licensed.

Total Active ESS Users

This field displays the number rows in the Active ESS Users table window. Each time an employee record is added to or removed from the Active ESS Users table window, this field is automatically updated.
