Update Costpoint Analytics Data

After you have begun using Costpoint Analytics, you normally update the project and employee data after each fiscal period ends and complete actual performance data is available for that period in Costpoint. In addition, you may want to load data for the Labor Utilization Analytics on a more frequent schedule as new labor data becomes available in Costpoint. (See Loading_ Labor Utilization Data More Frequently for a discussion of the advantages and disadvantages of this approach.)

Preparation

Before you load new project and employee data, do the following:

Important: If you make any changes to the configuration settings, it is very important that you both click Save Settings for <Project or Employee> Analytics Data Model Build and click on the toolbar to save the current configuration settings before you run the data load process. If you do not do both, the data load may not use the most current configuration settings.

For example, you should remove proposals that you won and have now set up as projects in Costpoint, as well as any proposals that you lost. Also add any new proposals that you want to include. (If you add or remove proposals, be sure that you also add or remove budget data for those proposals.)

Procedure: Update Project and Employee Data for Costpoint Analytics

To load new Costpoint Analytics data, complete the following steps:

To run any of the .bat files to load data, you must log on to the Costpoint Analytics server as the DeltekAnalytics user or as another QlikView-licensed user that you have set up. Do not log on as the DeltekAnalyticsCW user to run these batch files.

  1. On the server on which you installed Costpoint Analytics, go to the <installation location>\Analytics\Admin folder

  2. Run the Full_CpA_Data_Load.bat file.

This process takes some time. When it is completed, Costpoint Analytics displays a message that confirms that the data model has been updated with the current Costpoint data and budget data.

If the row count for the PSR_Final_Data table in Costpoint is more than 50 million, follow the instructions in Procedure: Load Initial Data Using a QlikViewPublisher Task. Using the QlikView Publisher task to load the data can improve performance for large databases.

While Deltek recommends that you always do a full data load, you can use other .bat files instead of Full_CpA_Data_Load.bat to save time when you only need to update certain types of data. Each of those files performs a subset of the actions that Full_CpA_Data_Load.bat performs.

For descriptions of all of the .bat files, see Data Load Programs.

Costpoint Analytics SaaS: If you have a Costpoint Analytics SaaS Subscription, the option to load data using Full_CpA_Data_Load.bat is not available. However, Deltek Cloud Operations will run that batch file nightly to load your data for you, or you can use the Run Project Data Load Batch File and Run Employee Data Load Batch File buttons in the configuration applications to update your data.
