Purpose

If you add new user groups or users in Costpoint and you want to update Costpoint Analytics security based on those additions, you can import only the new security information from Costpoint.

The instructions below describe the procedure for updating Costpoint Analytics security to include new user groups and users from Costpoint. However, even though you previously imported security information from Costpoint, you also have the option to do a full security import again if you want to completely replace the existing Costpoint Analytics security. To do that, follow the instructions in Set Up Security.

You can also make additions or changes to the security settings without importing security information from Costpoint.

Project Manager Security

The procedures below do not include project manager security. If you need to update project manager security for some users, refer to Set Up Project Manager Security.

Update Security by Importing New User Groups and Users from Costpoint

Costpoint Analytics SaaS: If you have a Costpoint Analytics SaaS Subscription, the option to import security information from Costpoint is not available. Use the procedure following this one: "Update Security Without Importing Security Data from Costpoint."

1. On the server on which you installed Costpoint Analytics, go to the <installation location>\Analytics\Setup folder.

2. Run the CpA_Import_Security_From_Costpoint.qvw file.

3. Click Load Only New User Groups and Users from Costpoint, and click OK in the confirmation message box.

When the process is complete, Costpoint Analytics displays a message to let you know that it is finished and to direct you to the next step of the process.

4. Under Usergroups on the Imported Security Worksheets tab, select the check boxes for the Costpoint user groups that you want to include in Costpoint Analytics security.

Do not try to edit other security information on the Imported Security Worksheets tab. You can add, change, and delete information in Microsoft Excel later in this procedure.

5. Click Export Worksheet Data to Excel File.

6. When you receive a message indicating that the OrgSecurityExtraction.xls file already exists and asking if you want to replace that file, click Yes.

7. When you receive a message indicating that the security data has been exported to the security extraction file, click OK.

8. Open the OrgSecurityExtraction.xls file in Excel. The file location is the <installation location>\Analytics\Setup folder.

9. Copy and paste the new security data from each of the worksheets in the OrgSecurityExtraction.xls file into the corresponding worksheets in the CostpointAnalyticsOrgSecuritySetup.xlsx file. The file location is <installation location>\Setup.

10. In the CostpointAnalyticsSecuritySetup.xlsx file, make any necessary changes to the default access given to user groups and users. Save your changes.

11. Load the security data into the Costpoint Analytics data models. You can wait for your next scheduled load process, or you can implement it immediately. See Update the Data Models Based on Security Settings.

Update Security Without Importing Security Data from Costpoint

1. In the CostpointAnalyticsSecuritySetup.xlsx file, make any necessary changes to the existing security data. You can add or delete user groups and users, and you can change the access for the existing user groups and users.

2. Save your changes.

3. Load the security data into the Costpoint Analytics data models. You can wait for your next scheduled load process, or you can implement it immediately. See Update the Data Models Based on Security Settings.
