Because Capture Analytics is primarily intended for executives, the default way to control access to the analytic data is based on the organizations to which opportunities are assigned. However, some firms want to provide Capture Analytics to managers and supervisors for whom security based on organization may not provide the necessary access. For example, you may want a project manager to have access to data only for the opportunities assigned to him or her. In addition, some firms do not assign opportunities to organizations, or do so inconsistently, making organization-based security unworkable. In these cases, you can specify an opportunity field other than organization on which you want to base security for some or all Capture Analytics users. A common use of alternate security for Capture Analytics is to provide access based on project manager. If you select the ProjMgr field as the field on which you base access, you can do the following:
Give project managers access only to opportunities for which they are the assigned project manager
Give program managers access to the opportunities of a group of project managers
To give a project manager access to his or her own opportunities, you link that person’s network user ID to his or her employee ID from GovWin Capture Management. The project manager’s employee ID, in turn, provides the link to that person’s opportunities. In Capture Analytics, that user can then only view and analyze data for his or her opportunities.
For a program manager who is responsible for a group of project managers, you can link that person’s network user ID to the employee IDs for each of their project managers. That gives that person access to data for all of the opportunities assigned to his or her project managers.
When you complete the alternate field security setup procedure and load the security data into Capture Analytics, the process creates a separate copy of Capture Analytics for each network user ID listed in the CRMAnalyticsEmployeeSecurity.xlsx file. Each copy contains only the data that user can access, based on the alternate field security setup information.
The file names of those copies are CRM_Analytics_EM_<network user ID>.QVW (for example, CRM_Analytics_EM_TomNoland). These files are located in the <installation location>\PM folder.
Each time you load new data from GovWin Capture Management into Capture Analytics, the data contained in each of those copies of Capture Analytics is updated automatically.
Security based on alternate field requires single sign on user authentication. Each user’s access is determined based on the alternate field values to which his or her network user ID is linked in the Capture Analytics security setup information.
If your firm also has Costpoint Analytics, most users enter Capture Analytics through the Summary Dashboard in Costpoint Analytics – Summary. However, users subject to alternate field security cannot do so. The most common approach for these users is to make Capture Analytics available to them through an AccessPoint site. An alternative is to set up a shortcut to his or her .QVW file for each of these users.
Capture Analytics security based on an alternate field provides access only to Capture Analytics. If your firm has Costpoint Analytics and you want users subject to alternate field security in Capture Analytics to have access to Costpoint Analytics, you must set up that access separately using the Costpoint Analytics security configuration settings and the related security spreadsheets.
