Opportunity User-Defined Fields

Purpose

Capture Analytics is designed so that individual firms can modify or enhance the standard analytics that Deltek provides. One way to do that is to add custom fields from the Opportunity Info Center in GovWin Capture Management to Capture Analytics as filter options, display options, table columns, or global search targets. In Capture Analytics, these fields are referred to as user-defined fields (UDEFs).

The first step in adding opportunity UDEFs to Capture Analytics is to select those fields in the two Opportunity User-Defined Fields lists on the UDEF Configuration tab in Capture Analytics Configuration. You can select up to 50 fields. When you run the data load process, it adds those fields to the Capture Analytics data model so that they are available to you as you implement your modifications.

 

Project and Employee Analytics

The fields you select on the UDEF Configuration tab apply only to the analytics in Capture Analytics.

If your firm also has Costpoint Analytics, you can use the configuration applications for Costpoint Analytics to select other sets of user-defined fields from Costpoint that apply to the detailed project analytics and employee analytics.

If you compare data in Capture Analytics to data in the Costpoint-based analytics, keep in mind that these UDEF values come from the GovWin Capture Management database, not from Costpoint. As a result, unless your firm keeps IDs and names in Costpoint and GovWin Capture Management in sync, the UDEF values (employee IDs, for example) may not match the corresponding values in Costpoint.

Adding User-Defined Fields to Analytics

For information on adding UDEFs to the analytics once the UDEFs are in the data model, refer to the Deltek Costpoint Analytics and Deltek Capture Analytics Designer Guide. Increasing the Maximum Number of User-Defined Fields

If 50 UDEFs are not enough, you can increase that number. For more information, refer to the Deltek Costpoint Analytics and Deltek Capture Analytics Designer Guide. That guide is available for downloading in .PDF format from the Product Downloads page of the Deltek Customer Care Connect site.

Types of User-Defined Fields

The list of fields that you can select for use in Capture Analytics includes most of the types of custom fields that your firm can add to the Opportunity Info Center in GovWin Capture Management. However, custom fields with the following data types are not included:

User-defined fields set up as columns in custom grids are also excluded.

The custom fields that are included fall into two basic categories:

User-Defined Fields from Other Info Centers

You can create UDEFs for the following types of custom fields from the Opportunity Info Center that are actually links to records in other GovWin Capture Management info centers:

If you select one of those custom fields, three UDEFs are created: one for the ID, one for the name or description, and one for a combination of the ID and name or description.

For example, if your firm adds a custom Chief Engineer field that is linked to the Employee Info Center (a custom field with the Employee data type) and you select that field as a UDEF, these three fields are added to the Capture Analytics data model:

You can then use any or all of these fields as you add or modify analytics.

The final segment of these UDEF field names is the table name from the GovWin Capture Management database. In the example above, EM indicates that the UDEF values are employee IDs and names from the EM (Employee) table.

Using UDEFs in Ad Hoc Data Discovery

All UDEFs with one of the data types listed below that you select on the UDEF Configuration tab are also available for use as dimensions on the Ad Hoc Data Discovery tab:

UDEFs with the Numeric or Currency data type are available for use as metrics on the Ad Hoc Data Discovery tab.

UDEFs with the Date data type are not available on the Ad Hoc Data Discovery tab.

If You Remove a UDEF

If you remove a UDEF from the list in Opportunity User-Defined Fields (1-25) or replace a UDEF with another one, the UDEF you removed from the list is not removed from the data model.

Initial Configuration

You can configure and begin using Capture Analytics without selecting any UDEFs. However, if you want to use them to modify the standard analytics as part of the Capture Analytics implementation, select UDEFs as part of the configuration process.

To select UDEFs to include in the data model...

  1. Click the UDEF Configuration tab.

  2. Click UDEF1 in Opportunity User-Defined Fields (1-25) to display the list of available fields.

  3. Click the field that you want to add to the Capture Analytics data model.

  4. To select other UDEFs that you want to add to the data model, repeat steps 1 and 2 for other rows in the two Opportunity User-Defined Fields list boxes.

Ongoing Administration

You can add UDEFs at any time, but they are never required.

If you select a UDEF and then decide that you no longer want it to be available, click the UDEF name (UDEF1, for example) and click Select user-defined field in the list. (The list is sorted alphabetically, so you will have to scroll down to locate this option.)
