Integration of iAccess with Kona Business

Kona from Deltek can be integrated with iAccess to support collaboration among those working on an opportunity. Kona is a private and secure collection of work spaces that members of the team associated with an opportunity can use to communicate, share documents, assign and manage tasks, and schedule events.

Overview

You can access Kona from iAccess if your firm has a Kona Business license and implements the integration with Kona Business, and you are associated with that Kona Business account. When you use iAccess and Kona together, you can share credentials and information between them, including your login credentials so that you only have to log in one time for both applications. After your system administrator configures iAccess to integrate with Kona, you can enter your Kona login credentials on the iAccess My Settings dialog box. Contact your system administrator for details.

If you are associated with the Kona Business account, you can create and display Kona spaces for opportunities on the Collaboration tab of the Opportunities area, and you can create Kona tasks for the touchpoints you enter for opportunities, companies, and contacts.

Implement Kona Integration

To implement Kona integration with iAccess, you obtain your Kona Business client ID and client secret and enter them on the Miscellaneous tab of the General System Settings form in Ajera CRM. See Set Up Integration with Kona Business for step-by-step instructions.

To obtain your client ID and client secret, you must log on to Kona Business as an account administrator for the Kona Business account.

Use Kona Integration

To use the integration with Kona, you must be associated with and have valid login credentials for the Kona Business account. (If you enter your Kona login credentials on the My Settings dialog box, you can access Kona spaces for opportunities on the Collaboration tab in the Opportunities area without having to log in to Kona.)

In some cases, you may not have complete access to the integration features:

Add a Kona space for an opportunity A member of the Kona Business account. Guests of the Kona Business account cannot create spaces. Also, your security role must have Full, Add, or Modify rights for the opportunity.
Change the Kona space for an opportunity A member or guest of the Kona Business account, and a member of both the current space and the new space. Also, your security role must have Full, Add, or Modify rights for the opportunity.
Participate in an opportunity's space: create, contribute to, and view Kona conversations, create and view tasks and events, associate files with conversations, tasks, and events. A member or guest of the Kona Business account, and a member of the space.
Create a Kona task for a touchpoint. A member or guest of the Kona Business account, and a member of the space for the opportunity associated with the touchpoint.

Create a Kona Space for an Opportunity

When you add a new opportunity, you have the option to have iAccess create a Kona space for the opportunity to support collaboration among those working on it. iAccess does the following:

  • Creates a space for the opportunity in Kona with the same name as the opportunity
  • Associates the space with the opportunity so it automatically displays on the Collaboration tab
  • Invites all employees who are currently listed on the Team tab to join the space

If you create an opportunity without having iAccess create a Kona space for it, you can always create a space for it later in Kona and use the Associate Kona Space option on the Collaboration tab to associate the opportunity with that space.

Create a Kona Task for a Touchpoint

If you enter a touchpoint for an opportunity for which a Kona space exists and you are a member of that space, you have the option to also have iAccess create a task in that space for that touchpoint. To do that, you enter the task name and, optionally, assign the task to one of the space members and specify a due date.

You also have this option if you enter a touchpoint for a company or contact, and you associate that touchpoint with an opportunity for which a Kona space exists.

Note: If you create a Kona task for a touchpoint and later you associate the touchpoint with a different opportunity, the tasks created in Kona are not affected. They remain associated with the original space.
