Overview

You view or preview the draft client invoice before changing or finalizing it.

Viewing

You view a list of invoices in the Client Invoice List (Manage > Client Invoices). You can change which client invoices appear by clicking (Change View), add optional columns by clicking (Customize), or change the sort order or appearance of the columns.

In the Client Invoice List, Ajera alerts you to these specific situations:

If the invoice amount is

Red

Billing exceeds the contract amount for projects set up with a Time & Expense billing type, and for fee-based projects where you have selected to bill labor, expense, or consultant as Time & Expense and entered a contract amount.

Ajera determines the billing amount by adding, for an activity type, all billed amounts plus work-in-progress (WIP) to be billed.

In addition to displaying the invoice amount in red, Ajera also prints Maximum Exceeded on the draft invoice for Time & Expense billing.

You can adjust the invoice amount.

Bright yellow

 

The invoice has at least one zero billing amount. You can adjust the invoice amount.

Note:

Axium recommends that you correct the billing rate table. Then, recalculate the billing amount by first double-clicking the invoice in the Client Invoice List to open it. Right-click the zero billing amount in the client invoice and click Recalculate Billing Rate. For beginning balance work-in-progress items, enter the billing rate or billing amount, as needed.

When you double-click an invoice in the Client Invoice List, any labor, expense, and consultant transactions billed to the invoice appear. You can click (Customize) and select to also view the invoice text, prepayment, adjustments, sales tax, attachments, notes, and contract and billing amounts for the billing type.

Previewing

When you preview an invoice, you see an online version of the invoice. The preview allows you to see the invoice without printing it. You cannot double-click an item in the invoice to view more detail. You can preview an invoice by selecting it in the Client Invoice List and clicking the Preview button.

Exporting

While previewing the client invoice, you can also export it to Microsoft Word, Microsoft Excel, or Adobe Acrobat (PDF).
