Contents of the Manage W-2s Screen

Identification

Field Description
Payroll Year

Enter the year for which the W-2s were created. The record for this payroll year, employee and taxable entity becomes hard-coded in Costpoint when you save the record, thereby avoiding duplicate entries.

Employee

Enter the ID of the employee whose record you want to add to this table, or click to select the employee ID. If the employee already exists in this table, you must click to select the record. This is a required field.

Taxable Entity

Enter the ID of the taxable entity to which the employee is assigned if you are adding a record to this table, or click to select the taxable entity ID. If the employee already exists in this table, you must click to select the employee's record, at which time you can change the Taxable Entity ID, if necessary. This is a required field.

Tax Service Group ID

Enter, or click to select, the tax service group ID to which the employee is assigned. Use this field to group employees for tax reporting purposes. You can create these group IDs in the Tax Service Group ID subtask of the Configure Payroll Tax Interface Settings screen.

This field is enabled if you select Tax Service Group ID as the Tax Service Grouping Method on the Configure Payroll Tax Interface Settings screen.

If the selected Tax Service Grouping Method is Tax Service Group ID on the Configure Payroll Tax Interface Settings screen and a tax service group ID is not assigned to an employee, the employee's payroll data will not be exported to your payroll tax service.

If you change the value in this field and you need to apply the change to past paychecks, use the Recompute Taxable Wages screen to update the tax service group ID that was assigned to past paychecks.

Field Description
Void

Select this check box if a W-2 needs to be voided. Voided W-2s print but are excluded from the subtotals as mandated by the IRS.

This field displays the employee's social security number. This non-editable field displays the social security number at the time the W-2 was created.

This field displays the taxable entity's tax ID.

c This group box displays the employer's name, address, and zip code. These non-editable fields are the employer's name and address at the time the W-2 was created.
e This group box displays the employee's name. These non-editable fields are the employee's name at the time the W-2 was created. The name is shown as first, middle initial, last name and suffix (if any).
f This group box displays the employee's address and ZIP code. These non-editable fields are the employee's address at the time the W-2 was created.

Field Description
Wages, Tips, other Compensation

This field displays the sum of all Federal Taxable amounts from the Manage Employee Earnings History screen.

All deferred compensation amounts (Codes D-H in Box 13) and other Federal exempt pay types and/or deductions are subtracted from gross wages to arrive at this amount. Employer contributions to 401(k) are not part of the calculation.

Field Description
Federal Income Tax Withheld

This field displays the sum of all Federal Withheld amounts from the Taxes Withheld Project Distribution subtask of the Manage Employee Earnings History screen.

Social Security Wages

This field displays the sum of all Social Security Taxable amounts from the Manage Employee Earnings History screen.

All social security exempt pay types and/or deductions are subtracted from gross wages to arrive at this amount.

This field displays the sum of all Social Security Withheld amounts from the Manage Employee Earnings History screen.

This field displays the sum of all Medicare Taxable amounts from the Manage Employee Earnings History screen.

Dependent Care Benefits

The amount shown here is the total amount of withholding, from the Deductions subtask of the Manage Employee Earnings History screen, for the deduction code that you have identified as a Dependent Care deduction on the Manage Deductions screen.

Field Description
Nonqualified Plans

The amount shown here is the total amount, from the Pay Types subtask of the Manage Employee Earnings History screen, for the pay type that you have associated with this box on the Configure Pay Type Taxability screen.

Field Description
Statutory employee

Select this check box for statutory employees subject to Social Security and Medicare taxes but not to federal income tax withholding. You can select this check box only on this screen.

Retirement Plan

Select this check box if the employee was an active participant in a qualified pension, profit-sharing, or stock-bonus plan under IRC 401(a), including 401(k) plans; in a 403(a), 403(b), 408(k), 408(p), or 501(c)(18) plan; or in a government retirement plan other than a 457 plan. If the Retirement Plan Covered check box is selected for the employee on the Manage Employee Taxes screen, this check box is automatically selected when you create the W-2s.

Third-party Sick Pay

Select this check box if you are a third-party sick-pay payer filing form W-2 for an insured employee. You can select this check box only on this screen.
